The Mechanical Engineering (ME) department is seeking an Administrative Assistant Associate who will provide administrative and clerical support to the departmental faculty, students and staff. This position requires broad and comprehensive experience including the ability to perform a variety of administrative activities in an academic setting, and the skill and knowledge to implement and follow organizational policies and procedures. The Administrative Assistant Associate will provide professional and administrative support of the day-to-day operations in ME.

Administrative Support:

• Provide a full range of administrative and secretarial support for Mechanical Engineering.
• Perform general reception duties that include creating a welcoming, organized, efficient and professional office environment.
• Provide administrative support for overall general office tasks, to include managing routine calendars, composing correspondence, preparing documents, reports, and presentations, answering questions and email inquiries, providing telephone support, assist with creating brochures and fliers (print and electronic versions), copying and collating materials, formatting and proofreading documents, managing electronic and hard copy filing systems, and collecting/reporting data/information as needed to support the productivity of the office.
• Order textbooks for courses offered within the department.
• Process incoming and outgoing US mail, campus mail, and periodic deliveries.
• Work closely with the department chair on the scheduling of courses each semester.
• Maintain inventory of office and program supplies.
• Assist with ME events including coordinating logistics, ensuring arranging faculty participation, publicity, etc.
• Assist with management of ME digital content in partnership with CECS and UM-Dearborn digital team.
• Serve as back-up to other department staff for financial activities (p-card review, procurement, etc.).
• Other duties as assigned.

General Student Support:

• Interact with students and assist with and resolve any walk-in needs.

• High school graduation or equivalent plus one to three years increasingly responsible experience in an office setting is necessary.
• Knowledge of: Microsoft Office Suite as well as general e-mail and calendaring systems.
• Familiarity and knowledge of University policies and procedures.
• Organized, willing to learn new things, and flexible in a changing environment.
• Demonstrated ability to undertake multiple tasks at the same time and be able to prioritize among those multiple projects, with a high value placed on detail and accuracy.
• Excellent interpersonal, communication, and customer service skills.
• Demonstrated initiative and creative thinking.
• Consistent attendance, dependability, punctuality and reliability.

• Bachelor's degree or equivalent combination of education and experience.
• Advanced computer skills including web design and website content management.

Due to a focus on customer service, this position requires a work schedule of Monday-Friday, 8:00 a.m. to 5:00 p.m.  Occasional evening and weekend hours may be required for specific events.
