The Department of HR Strategy and Operations, within the Division of Talent and Culture is seeking applications for a Program Assistant II. This position will work under the direction of the Operations Coordinator for HR Strategy and Operations. The incumbent will provide complex administrative and accounting support to the HR Operations team; coordinate the day-to-day-to-day operational activities for the Division of Talent and Culture; and work on special projects or other duties as assigned.
HR Strategy and Operations is responsible for activities that require a cross-functional approach to the delivery of services for Talent and Culture, such as policy development oversight, administration of separation plans, budget management, reception area, website oversight, organization charts, services contracts, supply and equipment ordering, space planning and management, etc. This position supports the HR Strategy and Operations team with the delivery of these services, including specific services in support of the division's HR Partners.
In order to be successful in this position, the ideal candidate will:
Work independently to provide complex administrative support, manage calendars and schedule meetings, which may also include coordinating the details of Talent and Culture events, such as employee workshops, seminars, luncheons, etc.
Ensure confidentiality and discretion of sensitive information.
Prepare conference rooms or other meeting spaces in advance, including gathering and distributing required materials.
Processes interdepartmental charges and make recommendations regarding purchases that support Talent and Culture operations.
Responsible for the overall upkeep and planning of the work space for Talent and Culture, which may include handling keys and access, placing orders, confirming available funding with Operations Coordinator, and ensuring work is completed in a timely manner.
Responsible for general on-boarding/off-boarding of all Talent and Culture employees, temps, students and interns, which may also include training or identifying training for new employees on software and systems.
Serve as direct resource for the employees of Talent and Culture regarding shared administrative resources and maintain shared resources, such as copiers, office supplies, shredding, purchasing, etc.
Arrange work space moves for Talent and Culture employees by working with Facilities Services and ITS, as needed.
Provide backup support to the HR Assistant I when he/she is out of the office.
Arrange travel, as requested.
Associate degree in a related field required.
One (1) year of experience performing administrative support required.
Any equivalent combination of education, training or experience which provides the required knowledge, skills and abilities will be considered.
Experience using Adobe Acrobat Professional, Outlook, Microsoft Office programs, and basic Microsoft Excel experience is preferred.
Strong interpersonal, customer service, organizational, writing, and grammar skills, with the ability to interact at all organizational levels.
Demonstrated ability to maintain confidential information.
Ability to prioritize and perform multiple tasks with excellent organizational skills.
Willingness to demonstrate the WVU Values of service, curiosity, respect, accountability, and appreciation.
