Macalester College seeks to hire a DepartmentCoordinator to support the Department of Multicultural Life (DML). This position provides administrative and logistical support/assistance to all members of the department. In this role, you will serve as the initial face for the DML and provides up-to-date information to all students, faculty, staff, and parents about the department's programs and staff. Additionally, in this role you will be tasked with coordinating office procedures, ensuring organizational effectiveness, and fostering a clean and welcoming environment. The Department of Multicultural Life works with a diverse population and in this position you are expected to have comfort in working with people from different backgrounds.
Provides administrative/clerical support to the professional staff of the Department of Multicultural Life. This includes taking minutes at meetings, managing the calendars and schedules for the Dean of the Department, places orders for supplies, and answers the phone. Organizes office procedures and keeps meticulous files.
Monitors the budget for the DML and ensures expenses are within institutional guidelines.
Coordinates logistics and communication for DML events, programs and meetings, including space reservation, ordering and purchasing goods, assisting with contracts, and communicating with diverse groups of people to ensure engagement through various modalities.
Supervises student employees, helps with the flow of student responsibilities and supports student development and programming. Assists with student payroll, contributes to student staff trainings and evaluation.
Ensures that space is clean, safe, and welcoming.
Actively engage in learning and practicing principles of social justice and inclusion to increase individual capacity to support institutional changes that create and sustain a welcoming and inclusive environment across the Macalester community.
Other duties as assigned.
An Associates Degree or technical school degree in Office Management or related field.
3-5 years of professional clerical/secretarial support; Strong organization skills - Multitasking - Flexibility to work in a dynamic and changing environment.
Previous experience working with underrepresented populations with a demonstrated commitment to equity and inclusion.
Ability to work collaboratively with students, faculty, staff and broader community.
Strong organization, planning, analytical, problem-solving and conflict resolution skills.
Excellent interpersonal skills.
Effective communication skills- both written and verbal.
