Department Description The Department of Public Health Sciences (PHS) is a large academic research department in the UC Davis School of Medicine. Our mission is to improve the health of people through large scale regional, national and international population-based approaches by carrying out epidemiologic and biomedical informatics research, educational programs, public service, and policy development. PHS has approximately 42 faculty and 250 staff with annual operating and extramural expenses totaling approximately $25 million. THIS IS NOT AN H1- B OPPORTUNITY ResponsibilitiesThis full-time, career position is based on the UC Davis Campus and serves as the executive assistant to the Chief, faculty, other academic, student, and staff employees of the Division, as assigned. The department is rapidly growing and the Administrative Assistant III is responsible for the administrative management and coordination of all activities of the division. Public Health Sciences consists of 5 divisions, Epidemology, Biostatistics, Enviornmental and Occupational Health, Health Informatics, and Health Policy & Management. Required Qualifications
Experience providing executive-level administrative support in an academic environment.
Demonstrated experience utilizing publishing and editing protocol and procedure to efficiently type and format technical, scientific and medical material.
Excellent writing, editing and proofreading skills to quickly and accurately produce correspondence and other written materials.
Experience with accounts payable, purchasing, general accounting principles, and accounting databases.
Experience with travel scheduling/itinerary creation.
Excellent organizational and analytical skills to assume general assignments and independently follow through to successful completion.
Strong interpersonal and oral communication skills to effectively and professionally communicate in person and on the telephone, and give directions to a diverse group of people including faculty, staff and students.
Excellent communication skills (oral, written, and interpersonal) to effectively interpret instructions and interact with a wide variety of people in a helpful, effective, and informative manner using tact and diplomacy.
Demonstrated skills to interpret policies, procedures and requirements and apply to processes and procedures related to research, teaching, the department, school and university.
Demonstrated skills to elicit information needed to clarify inquiries and requests.
Demonstrated computer skills utilizing Microsoft Word, Excel, Powerpoint, Outlook, and Adobe Acrobat.
Excellent mathematical skills to accurately complete assigned budgetary, accounting and purchasing tasks.
Experience using Kuali financial system (KFS).
Experience processing travel in Aggie Travel.
Experience with Academic Personnel and MIV
Demonstrated knowledge of university policy and procedures related to purchasing, travel, entertainment, memberships, and equipment management.
General knowledge of UCDHS and UCD resources.
Ability to work independently with minimal supervision, exercise good judgment and decision-making ability, maintain confidentiality, exercise discretion, and resolve conflicts.
Ability to be flexible and work effectively as a team member.
Ability to handle sensitive or difficult situations diplomatically, and to work effectively and sensitively with constituents from diverse cultural backgrounds and perspectives.
Ability to follow through on details, providing all necessary/required background documentation.
Work in a non-smoking environment
Ability to lift up to 25 pounds
Valid California Driver's License
