UW Medicine Supply Chain Management team has an outstanding opportunity for a full-time, SYSTEM PROJECT MANAGER.
The System Project Manager, Strategic Sourcing, UW Medicine Supply Chain, is accountable to the System Director, Strategic Sourcing, Clinical Operations of UW Medicine and facilitates and leads system and entity specific projects related to UW Medicine Supply Chain Strategic Sourcing. Scope includes process improvement, enhanced quality, and cost savings projects across UW Medicine with a focus on; Harborview Medical Center, Northwest Hospital & Medical Center, Valley Medical Center, University of Washington Medical Center, UW Neighborhood Clinics. This role facilitates and leads operational process changes including the coordination of project teams and stakeholders. This role works with key resources to document and evaluate the adequacy of the current state, assists in decision making regarding desired future state, and facilitates and leads in implementing identified organizational changes.
Position Dimensions and Impact on UW Medicine
Responsible for partnering and facilitating project work across UW Medicine Supply Chain Strategic Sourcing, often times in conjunction with UW Medicine System and Entity specific Senior Leadership to implement Supply Chain related projects focused on process improvement, enhanced quality, and cost savings.
Ensure the dissemination of accurate Supply Chain data by producing clear, concise and appropriate reports.
Project Management and Leadership
Facilitates and leads Supply Chain Strategic Sourcing projects progress, processes, risks and issues, and identify appropriate corrective measures based on accumulated input from team members and stakeholders. Escalate issues in an objective and actionable way.
Demonstrates the ability within a team assignment to take a lead role in interpreting and applying resolution techniques; management of diversity in the workplace; effective communication and active listening skills, consensus-building and problem resolution practices in order to achieve team goals.

Monitor the progress of external dependencies and escalate as appropriate.
Maintain a detailed project plan based on information from project team members and stakeholders regarding completion of tasks, updates to estimates or resource requirements, interdependencies and timelines. Review information provided by project team members and stakeholders to assess its quality and completeness.
Work with project teams to ensure that their detailed task lists integrate with each other and support the overall project timeline. Ensure that all groups work within common goals and assumptions, including, testing, training, downtime planning, go-live planning, and post go-live support.
Ensure that a contingency plan exists for each key milestone in the project plan, specifying actions to be taken in the event that the milestone is missed.
Communicate project status, accomplishments, key issues and risks to project leadership on an established project update frequency, identifying issues requiring resolution at the leadership level.
Monitor project team adherence to established principles for documentation of project deliverables, issue management, decision logging, action item management, project planning, scope management, budget management and resource tracking.
Develop standard Post-Implementation Review Report to include project metrics and lessons learned.
Assist in vendor management and ensure that transition plans are developed and executed to transfer responsibility to the team(s) responsible for ongoing support.
Facilitate regular project team meetings and ensure that agendas, minutes and other appropriate meeting tools are used.
Provide input, as requested by Supply Chain leadership, on team members' performance for inclusion in personnel evaluations.
Present project status and summary information at appropriate venues across the UW Medicine system.
Other duties as assigned related to process improvement and operational efficiency for UW Medicine Supply Chain Strategic Sourcing related projects.
Workflow design and validation
Work with project teams and system and entity specific resources to document and evaluate the adequacy of the current state.
Facilitate decision-making regarding desired future state and assist in implementing identified organizational changes.
Assist sites in developing transition plans where the future state may not provide complete coverage of current business practices.
Create Risk Tracking tools to identify, prioritize, and monitor project risks
Develop risk mitigation strategies and an action plan for identified project risks
Create and educate project team on Change Management protocols
Conduct departmental and system Change Management Readiness Assessments
Monitor major workflows with a focus on continual process improvement
When needed, develop options and recommendations for long-term training and application support processes and structure
Coordinate system and entity specific resources and project teams to facilitate operational process changes.
Demonstrate the ability to work in a high-volume environment where great emphasis is placed on customer service and creative problem-solving skills
Provide leadership to support planning and coordination of system and entity specific business process initiatives.
