Accounting and auditing tasks include: Research, analyze and interpret data received from departments and vendors; Respond to complex department and vendor requests for information; Ability to work in a fast paced office; Organize and maintain large amounts of data and information; Reconciliation and accounting functions in support of the departments; Review and process information in order to identify discrepancies and deviating circumstances; Identify invoices with purchase orders in eBucs system; Identify and determine if the requests comply with the University guidelines; Research, reconcile and balance routine and non-routine account information and financial information; Ensure strict attention to detail; Ensure compliance of standard practices such as proper signing authorities and purchasing and data standards; Ability to organize and prioritize multiple tasks and still maintain consistency, accuracy; Application of contract payment policies and procedures as stated by State of Tennessee, the University and IRS at all times; Consult University policy to ensure compliance; Advise and counsel departments and vendors on University policies and procedures; Ability to work with diverse employees and customers; Ability to grasp constant technology and system changes and relay to users in departments; Ability to function as a team member.
Clerical and secretarial tasks include: Opening and processing the mail for the procurement and contract services department; Return contracts to the correct department for approval to pay when they do not meet requirements stated by University policy; Contact outside vendors both verbally and in writing on matters regarding contracts; Act as a liaison between vendors and the departments; Answering the telephone, providing instructions and/or transferring to purchasing department when required; Prepare vendor checks for mailing on campus, mailing off campus and calling for check pick up; Scan documents into BDM or other electronic programs; Review W-9’s and vendor applications.
Contract monitoring tasks include: Monitor electronic workflow and folders; Monitor contract events such as expirations, milestones etc. and notify responsible parties; Assist with contract training; Load contract related information into electronic system.
Correct information in multiple systems. Contact vendors to update company information such as address and direct deposit availability. Assist with fiscal year-end reporting as needed; Assist Accounts Payable Director in meeting deadlines; Perform other related duties as assigned.
