Reporting to faculty leadership surrounding Telehealth and Informatics programs, the Administrative Assistant will work closely and collaboratively with faculty and faculty leadership to support and improve administrative functions within the program area and to assist with implementation of new initiatives.
Performs clerical and administrative tasks including drafting emails, letters, memos, invoices, reports, and other documents for senior staff
Manages daily schedules, as well as travel arrangements and speaking engagements for program leadership
Arranges and attends meetings; creates agendas and records minutes at meetings to then be distributed to attendees
Receives incoming communication, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff, prepares timely responses
Prepares presentation material, agendas, slides and PowerPoint graphics for meetings and speaking engagements
Assists with implementation of new initiatives and programs developed by Telehealth and Innovation leadership
Develops and implements a system to effectively communicate with and disseminate information to Team, Divisions and Department members across all campuses
Cross covers for other administrative staff
Performs related duties and responsibilities as assigned/requested
Bachelor's degree or equivalent in experience with at least three years of relevant administrative experience
Excellent verbal and written communication skills
Excellent organizational skills and attention to detail
Excellent time management skills with a proven ability to meet deadlines
Ability to handle confidential information with exceptional judgment and discretion
Ability to set priorities, handle multiple assignments, and work with diplomacy and efficiency in a highly pressured environment
Ability to function well in a high-paced and at times stressful environment
Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
