Rutgers, The State University of New Jersey is seeking a Secretary I for the Office of Education in Department of Student Affairs at the Rutgers Robert Wood Johnson Medical School.
The Secretary I provides administrative support, maintains department calendars, assists with coordinating meetings/events, supports summer programs, prepares and analyzes surveys, processes requisitions/check requests and coordinates office maintenance.
Among the key duties of this position are the following:
Serves as first-point of contact for students, staff, faculty and visitors and their questions: greets at the front desk, answers phones, maintains emails
Assists with coordinating meetings and events: arranges for facilities and catering, issues invitations, coordinates speakers, tracks event budget/expenses, prepares minutes for meetings
Provides administrative support for summer programs: updates recruitment materials and program schedules, assists with hiring teaching staff and onboarding participants
Creates, maintains and prepares reports of department surveys and student data, including data entry of materials
Prepares and processes requisitions, requests for checks, non-PO uploads for student reimbursements and other financial activities
Expedites and coordinates services such as maintenance, repairs, office supplies, equipment, and mail.
Minimum Education and Experience:
One (1) year of experience working with students in a higher education setting
One (1) year of experience working with finance/budgets, procurement processes and hiring processes
Equivalent experience, education and/or training may be substituted for the education requirements
Required Knowledge, Skills, and Abilities:
Must be proficient in Microsoft applications (Word, Excel, Powerpoint) and survey data tools to create concise and cogent reports
Familiarity with video conferencing software such as WebEx
Strong organizational, analytic, and problem-solving skills
Precision, attention to detail, and creative thinking
