This position is full-time and works approximately 40 hours per week. 

This position is in the Division of Physician Scientists.  This position is for the Medical School Campus.

POSITION SUMMARY:

Position specializes in project management for a broad range of activities supporting the Division of Physician Scientist operational management. Key responsibilities include assisting with the management of: annual progress report, data tracking and evaluation activities, human subjects database, as well as assigned meetings and events throughout the year.

PRIMARY DUTIES AND RESPONSIBILITIES:

1. Data Tracking and Management

• Manages data tracking and evaluation of the activities of all scholars and mentors
• With guidance from the Director and the administrative team, works to maintain the tracking and evaluation objectives of the division and to assist in the evaluation of research objectives integral to each scholar’s success; assists Director in understanding and evaluating processes related to evaluation established milestones and program requirements
• Assists with analyzing program-level data for annual progress reports
• Tracks publications, contacting/educating members regarding adherence to policies, maintaining a tracking database, and developing reports
• Assists in the updating of the division’s website and social networking platforms
• Develops and maintains human subjects protocol, and related records for sample collections to support the Interesting Patient Study (TIPS) program

2. Project Management

Assist the Program Director with the following:

• Selection and Interview Process - coordinates electronic application submission, reviewer assignments, and review sessions; manages submission data and application scoring; manages all travel and transportation for scholars and Selection Committee members
• Annual and Recurring Events – organizes location and schedule assigned events; invites scholars, mentors and guests; plans and develops agendas for meetings
• Annual Progress Report – develops schedule and deadlines, monitors deliverables from Scholars, and coordinates and verifies collection and compilation of various report components for submission
• Monitoring Scholars’ activities and progress, including mentoring sessions
• Assists with development of agendas and preparation of minutes for executive council meetings to help execute assignments in prescribed schedules/timelines
• Manages the division’s website

3. Marketing and Communications

• Assists the Director in the development of marketing and communication plans for the division and orchestrates their execution
• Manages assigned sections of the website designed to disseminate information and promote interaction between scholars; assists with support of administrative components such as Scholar recruitment efforts; works with designated representatives from various departments throughout the university to promote the division and its scholars

4. Other Functions

• Maintains tracking documents of activities noted above and provides status reports as required
• Documents processes, develops guidelines, and organizes efficient storage and access to data for repeatable administrative processes
• Assists with coordination and support of the division’s special events on an as needed basis

Bachelor’s degree with at least 3 years of related experience or a combination of education and experience totaling 7 or more years.

• Master’s degree.
• 10+ years of administrative coordinator experience.
• Advanced knowledge of computer applications; strong analytical and organizational skills with attention to detail; extensive experience with Federal Grant policies and requirements; demonstrated ability to interact with Human Research Protection Office regarding protocol submission and approval, amendments, and maintenance of all records related to protocols; ability to manage multiple priorities and meet deadlines; demonstrated ability and expertise in handling varied aspects of project management; strong critical thinking and problem solving skills; team player who works closely and supportively with all stakeholders, including technical support staff; excellent verbal, written, and interpersonal skills.

The hiring range for this position is $51,293 - $66,685 annually.
