1) The primary responsibility of the Chicago Booth Executive Education Assistant Director is to provide client and vendor relationship management, internal communications, project management and operational support across the cross-functional team.
2) The Assistant Director represents Executive Education to internal stakeholders (faculty, staff) and external audiences (executives, partners, clients and vendors) for Marketing, Business Development, Enrollment and Operations.
3) As a key representative of Executive Education to external and internal constituents, the Assistant Director works across the team to ensure clear communications, customer service, and project management of special projects and initiatives.
4) Supports the key projects that affect multiple departments within the Executive Education organization including marketing operations, client visit management, external faculty engagement and office operations.
5) Manages the external engagement experience through relationship building with vendors, clients, faculty, and staff (in-person, email, phone outreach).
6) Oversees and manages cross-functional team meetings and internal communications to ensure consistency across projects and staff in Chicago, London, and Hong Kong.
7) Responsible for the recruiting and onboarding process with team leads, including scheduling interviews, onboarding procedures, and the assignment of space, phone and other equipment.
8) Manages the Associate Dean and Executive Directorâ™s expense reports, travel arrangements, coordination of meetings and calendar management.
9) Ensures all office procedures and policies are followed to meet Chicago Booth and University guidelines and compliance.
10) Assist Executive Education Associate Dean and Senior Staff team leads on: coordination of internal communications with key stakeholders; meeting prep and project management of initiatives affecting cross-functional teams; reporting on business development, marketing, enrollment, accounting and operations.
11) Performing general administrative duties such as, Fed-Ex/mail, restocking marketing materials, proofreading, managing office appearance and orderliness and file maintenance and oversight.
1) Proven organizational aptitude, attention to detail, and project management.
2) Excellent interpersonal, written, and verbal communication skills with a commitment to providing a high level of customer service while exercising discretion, clarity, tact, and courtesy.
3) Work cross-functionally across the team, with other departments at Chicago Booth and the University.
4) Recognize and resolve or refer problems in a calm and direct manner.
5) Maintain strict confidentiality of sensitive information.
6) Strong knowledge of MS Office, including Outlook, Excel and PowerPoint.
7) Learn and use University systems, Chicago Booth systems and Executive Education Salesforce.
