Manages day to day operations of the department, including maintenance of 200+ accounts, security issues (i.e. accessibility) and maintains equipment inventory.
Provides all financial information to faculty as requested, (i.e. salary information, tuition/fees etc. for budgets).
Enters budgets for each fiscal year based on previous year expenses and knowledge of spending habits.
Provides monthly summaries of departmental account balances to Chairman.
Manages all monthly payroll including faculty & graduate payroll, grant release, summer and PRO advising pay for faculty.
Makes all corrections needed as grants change.
Processes all the Effort Verification Reports in a timely manner back to Office of Sponsored Programs.
Initiates the hiring paperwork (e-recruit) for Post Doctoral Fellows, Visiting Scholars, etc.
Gathers and submits the information needed by the International Affairs Office to issue DS2019's.
Processes all the volunteer/courtesy appointments for the department.
Verifies and approves all budgets for grants and ensures that all documentation verifying costs included in budgets are accurate and accountable.
Creates budgets and/or budget justifications for faculty based on information proposals as needed.
Provides faculty with allowable expense information for grants.
Works with auditors on grants to ensure everything is properly accounted for and within the requirements of the sponsor.
Justifies expenditures as needed by sponsor.
Attends monthly meetings for Assoc Chair of Graduate Programs and reports changes of degree programs to faculty.
Makes decisions on admission status, creates denial/acceptance and offer letters for all applicants.
Gathers and submits the information needed by International Affairs Office to issue I-20's.
Assist Associate Chair for Graduate Programs on New Graduate Orientation (updates the student manual and sets up the orientation).
Tracks all graduate student forms and verifies they have met the requirements of the department.
Works with graduate students to assist them in finalizing their degree program for graduation.
Advises new faculty on their startup packages to ensure they spend it as provided by department.
Tracks monthly expenditures and creates monthly statements for each new faculty member showing their expenditures to date and remaining funds available.
Trains new faculty & staff on campus/departmental policies and procedures.
An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and abilities can be acquired is necessary.
Preferred Qualifications Bachelor's degree in accounting is preferred
Extensive background in accounting practices is necessary.
