ECTC is seeking a Department Assistant to provide support to staff of the TRIO Educational Opportunity Center. This position requires maintaining a high level of professionalism, strong self-initiative and a positive attitude.
Position contingent on grant funding, currently funded through August 31, 2021.
Responsibilities will include but are not limited to:
Perform clerical duties to include typing, filing, copying, maintaining forms, and scheduling appointments, answering the main office phone and responding to questions regarding the TRIO Educational Opportunity Center program.
Responsible for creating and maintaining participant files, entering participants' information into database, and compiles site visit binders while maintaining a high level of confidentiality.
Assists with monthly procurement card reconciliation and accompanying documentation.
Assists with grant reporting including the Annual Performance Report submitted to the U.S. Department of Education.
Create and maintain the EOC outreach and events calendar as well as social media platforms.
Order, inventory, and organize all departmental supplies and materials.
Update marketing materials and website as needed to reflect any change in information and ensure KCTCS branding compliance.
Provide support to staff in planning, organizing, and implementing workshops as needed.
Maintain and troubleshoot issues with office equipment.
Demonstrate familiarity with computers and database programs; Microsoft Office (Word, Excel, PowerPoint).
Other duties as assigned by supervisor.
Education: High School Diploma/GED and 2 two years related work experience, or equivalent (Associate Degree in Office Administration preferred.)
Must be very organized, a quick learner, and be team-oriented.
Ability to work efficiently, set priorities, and handle multiple tasks.
Ability to be accurate, articulate, and diplomatic in communications.
Ability to effectively focus on priorities with attention to detail and organization.
Strong problem solving skills.
Dependable with strong work ethic, must work well under pressure; deal with changing circumstances and priorities in the academic environment.
Experience with appropriate handling of confidential information.
Strong communication skills-both written and verbal.
Commitment to cultural diversity.
Sensitivity to, and experience with, the needs of limited income, first generation and disabled students.
