ADMINISTRATIVE SPECIALIST I: The Center for Agriculture and Food Security and Preparedness.
The Center for Agriculture and Food Security and Preparedness in the College of Veterinary Medicine invites applicants for a full-time Administrative Specialist I. This position is a combination of Accounting and Logistics. The individual filling this position will work closely with the Associate Director of Operations. This position will be completely funded by grant accounts. Applicants should submit resume highlighting desired skills.
This position is responsible for assisting with the management of the fiscal operations of the Center. This person performs accounting tasks in strict accordance with Department of Homeland Security guidelines and follows Fiscal Policy, UT procedures, and UTIA guidelines in performing accounting tasks, and works with other departments for processing travel and instructor payments.The primary duties and responsibilities include entering and monitoring financial entries in IRIS. This includes entering payroll, procurement, travel, and accounts receivables and payable; communicating with subject matter experts and Instructors; obtaining requirements for international travels; processing international and domestic travels. This position will also assist with the preparation of reports for funding agencies and for purposes of strategic planning and program accreditation.
This position coordinates web and instructor-led training courses for domestic and international course deliveries and to manage and maintain the participant database system. Additionally, this position will coordinate the shipment of course materials to and from designated course sites and will be responsible for printing and assembling manuals and/or working with the print shop. Position will also keep inventory up to date at all times; be very innovative and self-motivated; be familiar with procedures of shipping large and heavy duty cases; be willing and able to drive to and from storage sites off campus; store equipment and cases in a neat and organized manner; mail certificates in a timely manner to course participants; be able to lift at least 30 pounds without assistance; and be able to support other staff as needed.
