Reporting to the Director of Graduate Studies, the Academic Assistant will be primarily responsible for assisting the department's degree students and supporting the department's academic team.
Duties and responsibilities include, but are not limited to, the following:
Provide direct administrative support to department leadership faculty, including calendar management, correspondence, the preparation and/or editing of presentation materials using PowerPoint and Latex, manuscript proofreading, travel arrangements and reimbursements, seminar organization, event planning, course material preparation, and website content management
Provide general guidance and support to students and faculty regarding degree and course requirements, as well as course management
Coordinates onboarding and hiring of Teaching Assistants (TAs), inclusive of acting as the main point of contact for I-9 and e-verify
Assist all department's degree students as they progress through their individual degree programs, including conducting degree audits, assisting with admissions and advising appointments, and keeping regular email communication with current students and prospective students
Assist with event coordination and management for department's academic events for students, staff, and faculty, including making room reservations and placing catering orders.
Assist the Senior Graduate Studies Coordinator with planning the annual Summer Program in Epidemiology and Biostatistics by providing academic guidance, event coordination, and communication support
Assist the academic team with all communications with students, faculty, and staff as it pertains to academics through the use of emails, flyers, and Trello boards
Make website updates as needed
Other related duties as assigned

3+ years of related experience required; a combination of education and experience may be considered
Bachelor's Degree preferred
Experience with the Microsoft Office Suite; Word, Excel, and database are a plus
Experience multi-tasking and working independently, responding to multiple, competing, and time-sensitive deadlines preferred
Experience manage sensitive information and situations with discretion preferred
Strong professional and customer service skills, including in writing style preferred
