The Department of Access Services (DAS) provides Interpreting, Notetaking, and Real-Time Captioning services to the RIT community so that all members can enjoy full access to communication.
Access Services enable more than 650 deaf and hard-of-hearing RIT students to register and fully participate in roughly 23,000 credit hours annually in more than 200 highly competitive academic programs. Deaf, hard-of-hearing, and hearing students alike use Access Services to communicate with each other in a variety of extra-curricular activities associated with student clubs and organizations, entertainment and sports events and RIT programs and services.
Detailed Job Description
Provide administrative support to the Assistant Dean and Director of Access Services, including: Calendar management, scheduling meetings, planning logistics and preparing materials. Arrange travel and coordinate itineraries. Develop, control, and monitor the division budget and oversee and monitor budgets for eight Department of Access Services (DAS) departments.
Also supports the Assistant Dean and Director in the exploration, application, implementation and reporting of and for grant-funded projects. Supports the Assistant Dean and Director in the implementation of the SD2025 decisions for Access Services. Supports the Director of Operations and the Technical Operations Business Analyst in an administrative role.
Prepare and process requisitions, purchase orders, journal entries, petty cash, cash advances and invoice payment forms. Prepare and process new supplier paperwork and contracts for service. Reconcile procurement card statements and expenditures.
Responsible for hiring, training and supervision of student employees and co-op students. Liaison for special projects assigned to students.
Create and modify documents such as invoices, reports, memos, letters and financial statements and presentations using word processing, spreadsheets, PowerPoint, Google Docs and databases.
Human Resources administrative duties: review and update job descriptions, finalize postings, facilitate online/print advertising, prepare requisitions, review applications, schedule interviews, arrange travel, disposition candidates through the hire process. Provide administrative support for new hire searches.
Work closely with Assistant Dean and Director in identifying, applying for and managing of federal and private grant funding.
Explore, negotiate and secure housing for up to eight Apprentice Interpreters each semester. Create monthly invoices in Oracle for their rent portions; send invoices, update shadow account and keep track of payments. Send payment reminders as necessary.
General Office Duties: Maintain the record management program for the division in accordance with RIT policy. Set up and coordinate meetings and conferences. Serve as backup to two Senior Staff Assistants in the Department of Access Services and the whole department as needed.
Required Minimum Qualifications
Minimum High School diploma or General Education Degree (GED). Minimum five (5) years' experience in an executive administrative position.
Excellent communication skills, both verbal and written
Exceptional interpersonal skills required
Flexibility and the ability to work independently and as a member of a team
Ability to manage and prioritize multiple demands simultaneously
Demonstrated problem solving and ability to maintain confidentiality required
Must be able to anticipate department needs and act accordingly
Knowledge of and proficiency in American Sign Language (ASL) highly desirable
