ADMINISTRATIVE ASSISTANT 2 , Laboratory for Nuclear Science (LNS) , to serve as first point of contact for LNS headquarters and provide general administrative support to faculty members, postdocs, grad students in the Neutrino and Dark Matter group within LNS. Will greet visitors to headquarters and answer and direct telephone calls; draft and proofread a variety of office correspondence for the LNS directorate and the Neutrino and Dark Matter Group; coordinate logistics for all meetings and special events, including agenda, flyers, room reservations and set up, AV, food and beverages, etc.; make travel arrangements and assist with reimbursements; purchase office supplies via Buy2Pay and credit card, following up with vendors as needed; process financial transactions; maintain office equipment and warranties and arrange for repairs; schedule, maintain, and set up video conferencing on several platforms; update the LNS events pages and create conference webpages; post and manage incoming applications for LNS faculty searches and the Grodzins Prize (through AcademicJobs online); manage the LNS conference room calendars; distribute mail and coordinate shipping and receipt of packages; generate facilities requests; maintain the headquarters' coffee station; update/edit the LNS director's calendar as requested; and scan and file purchasing and fiscal records.
Job Requirements REQUIRED : at least three years' related experience; a high school diploma or its equivalent; good communication and organizational skills; ability to work independently to solve problems and manage changing priorities; and knowledge of database, spreadsheet, and word processing software and basic working knowledge of .html/.html5.
