This opportunity is a full-time benefits eligible position working Monday - Friday (40 hours per week).
The Registrar Coordinator serves as the first point of contact for students and their families. This position provides timely, helpful and accurate information relative to student records. This position is also responsible for the development, administration, and maintenance of the academic course schedule. The position works closely with Academic Departments, the Dean's offices, the Information Technology Department, and all pertinent offices in regard to course scheduling and the student information system. The position provides reception and administrative support to the Registrar's Office as well as Financial Aid, assists the Registrar during peak periods, and provides general counseling and superior customer service to support the university's goals.
Duties include, but are not limited to:
Providing excellent customer service to students, staff, and faculty
Staffing the window from 8:00 am - 4:30 pm Monday - Friday
Receiving and respond to phone calls, emails and office visits
Answering incoming calls and respond to general questions or forward to appropriate resource
Reviewing and responding to the registrar email as appropriate
Directing emails to appropriate registrar and financial aid resources as needed
Providing general information, outreach and counseling on office related information
Academic schedule development and maintenance
Responsible for the coordination and scheduling of all academic courses fro each program offered by the University
Work with the academic departments and deans to develop and maintain the master course schedule for each trimester
Work with the academic departments and deans to coordinate the cancellation of courses and/or course sections and coordinates the notification to students of course/section cancellation
Coordinate the publication of each trimester's schedule of courses on nwhealth.edu website with the Registrar
Room and calendar maintenance
Maintaining a calendar of activities, meetings, and various events for the assigned staff
Coordinating WebEvent Calendar activities with other offices, students, the public, and outside agencies on campus
Update room assignments for academic courses on WebEvent calendar each trimester
Process and assign rooms on WebEvent calendar as requests for room assignments come into the office
Notify students, faculty, and staff of room changes as needed
Perform scanning, data entry, extraction, word processing, file maintenance, and document tracking
Scanning, documenting, reviewing, tracking, and verifying student records and materials for completeness and conformance with established regulations and procedures
Forwarding completed records to appropriate department for processing
Imaging and/or filing student documents in appropriate location for storage
Prepare and/or complete various requests for processing
Coordinating registration requests for processing
Fulfilling requests for transcripts, enrollment verifications, and deferments
Coordinating the filing and/or document imaging of these processes
Other duties consistent with the position as assigned by the Registrar
High School diploma or General Equivalency Diploma (GED) (required)
0-2 years of Administrative Assistant or Office Coordinator experience (preferred)
Experience working in a higher education setting is preferred
