Administrative Director, Department of Dermatology
Responsible for the operational, financial, and administrative management activities of the Department of Dermatology. Specific areas include: operating budget, capital budgets, revenue cycle, ambulatory operations, human resources, appointments and promotions, program management, educational programs management, research programs, grants administration, fiscal administration, practice management and quality assurance. Directly support the Chair of the Department by coordinating with faculty, residents, fellows, trainees, and support staff. Facilitates dissemination of information and oversees the operations of all ambulatory Dermatology practice sites, research operations and grants administration. Role also interfaces with other department leadership at both Boston Medical Center and Boston University.
Coordinates the implementation and administration of the Faculty Practice Plan, Faculty Appointments and Promotions, Research and Educational Programs with the Chairperson. To include the following:
Prepares annual capital and operating budgets.
Reviews and manages results of monthly financial reports including profit and loss statements and cash flow analysis. Also prepares special financial analyses as required.
Maintains the Boston University Dermatology Compensation Plan.
Approves expenditures and obtains approval on non-budgeted expenditures.
Monitors incoming revenue from all sources.
Manages contracts, physician leases, and sublease arrangements with other BMC departments and outside partners
Conducts analysis on all new business and strategy ideas to evaluate expected contribution margin and financial solvency of proposal
Works with Department Chair and department faculty to prepare business plans to advocate for new services, strategies and resources on behalf of the department.
Monitors budgets within the grant guidelines and assures all reporting requirements are met.
Align resources within the department to ensure resources are allocated in support of the department's strategic plan.
Oversee large research initiatives, determining resource needs and ensuring infrastructure is adequate to meet needs.
Participate in long-range planning of research growth for the department.
Human Resource Management:
Responsible for administrative oversight of the hiring and firing of Boston University personnel and Boston Medical Center personnel.
Manages supporting personnel, which could include residents, fellows, support staff, advanced practice providers, billing staff, ambulatory service representatives, surgical schedulers, medical assistants, and the ambulatory Operations Manager.
Ensures compliance with all personnel guidelines.
Responsible for supervision of departmental support staff, including training in departmental policies and practices; recommending appropriate salaries, providing written annual performance reviews and recommending promotions.
Ensures that all appropriate employee paperwork is provided in a timely manner; including personnel forms for new and terminating staff, payroll, and other personnel records.
Maintains job descriptions for all positions.
Collects and documents knowledge of Visa requirements for foreign staff and research/clinical fellows.
Studies and organizes the functions of the support staff to ensure the smooth function of departmental, educational, and patient care related issues.
Coordinates tracking of accrual and usage of earned time and other time off.
Oversee promotion & tenure process for the department and partner with the Medical School Office of Faculty Affairs to ensure process compliance within the department.
Lead administrative team supporting the department chair and faculty needs within the department.
Lead process improvement initiatives to ensure effective, efficient administrative support.
Attends and participates in meetings of clinical committees as needed to provide technical and administrative knowledge.
Allocates and oversees space, staffing and clinical and administrative activities at Boston University and Boston Medical Center and off campus practices.
Supervises department-credentialing process in conjunction with Massachusetts Board of Registration in Medicine and Hospital by Laws. Insures all appropriate documents are provided for new staff appointments, residents, research/clinical fellows, and reappointment.
Develops and maintains effective working relationships with the medical and support staff of the department and other hospital and related staff.
Coordinates coverage schedule for physicians and staff members.
Assists the Chairperson in organizing departmental administrative structures. Works with the Chairperson to improve staff performance and designate appropriate tasks among personnel.
Conducts monthly support staff meetings.
Studies and organizes the functions of the department to ensure the smooth function of administrative and patient care-related tasks.
Follows established hospital infection control and safety procedures.
Oversee governance structure of the Department of Dermatology.
Assists the Chairperson in the recruitment and retention of faculty. Coordinates academic appointments and promotions within the department processed at component hospitals and approved by various committees.
Ensures the timely and accurate collection and recording of required data and other program information.
Seeks opportunities to improve organization of Education programs, in conjunction with Program Directors, Chairperson, and others.
Evaluates departmental space needs. Monitors space utilization in the department and recommends efficiency improvements to the Chairperson.
Schedules and coordinates the agenda for all faculty meetings and clinical operations meetings.
Possesses knowledge of the administrative requirements associated with sponsored research, physician practice management, and graduate medical education.
Responds in collaboration with Department leadership to non-routine needs of the Department and Medical School.
Serves as liaison for communication within the Department including website, internal communication, and electronic communication.
Ensure infrastructure set up to manage departmental trainee rotations through department.
Monitor departmental education infrastructure to ensure adequate resourcing of graduate medical education programs (residency, fellowships).
Monitoring performance of education programs and recommend improvements as appropriate.
Collaborate with research administration to meet the needs of the faculty.
Performs other duties as needed.
Minimum of a Bachelor's Degree and at least 6 years of related experience in a healthcare or academic setting including at least 4 years in a management role with supervision and budgetary responsibility. Advanced degree (Masters or above, preferred). Proven ability to translate a strategic plan into operational policy. Demonstrated track record of management of personnel and fiscal resources. Leadership ability to guide, direct, and mentor a multi-layered staff. Capable of program development, implementation and evaluation. Capable of long range program planning that involves complex decision making tasks. Expert verbal and written communication skills and interpersonal skills. Must be exceptionally organized to manage multiple priorities and diverse activities, to prioritize and meet deadlines. Dedicated team player with the willingness and desire to learn and grow within the organization. Ability to anticipate objections and plan appropriate responses; ability to perform and lead effectively in a variety of situations and to solve problems as they occur. Professional in conduct and appearance. Proficient with standard software used in healthcare office setting (i.e. MS Word, Excel, web browser, etc).
