Part-Time Assistant for Graduate Programs and Events
College of Professional Studies
Reporting to the Associate Dean for Curriculum, this individual will provide clerical, administrative and project level support to the Graduate Advising Deans of the College of Professional Studies (CPS). This individual will also assist with the day-to-day operations of the CPS Dean's Office and will have daily contact with graduate students, faculty, administrators, and other members of the University community. He or she must be highly motivated and have the ability to analyze, organize and see a task to its completion and be dedicated to our student service goals as well as our Vincentian Mission. The individual should possess intermediate skill levels in Microsoft Word, Excel, and Outlook applications and be able to master University-specific marketing programs.
Manage graduate marketing campaigns for CPS Graduate Programs, including brochures for all CPS graduate programs, online marketing campaigns & program webpages. This position will also be involved with developing a marketing plan for future graduate programs.
Assist and complete projects assigned by the Dean (research, data compilation, website/faculty bio maintenance)
Provide clerical and administrative support to the graduate assistant deans of CPS, including but not limited to basic office duties such as answering phones, distributing mail, scheduling appointments, faxing, preparing correspondence, filing, ordering supplies, coordinating meetings and events, and utilizing the appropriate technology when applicable.
Assist with the planning of events that are focus on internal recruitment for CPS Graduate Programs
During peak advisement seasons, handle reception and student, faculty, administrator, and guest contact with the associate deans of CPS.
Perform other duties as assigned.
A high school diploma or equivalent.
A minimum two years of office experience.
Must have excellent interpersonal skills and be able to work effectively as a team player.
Possess excellent time management and organizational skills, initiative and resourcefulness.
Exhibit the flexibility and resourcefulness to be able to perform successfully when challenged by changing workflow priorities.
Have the ability to gain and maintain confidence and cooperation of faculty, administration, students, and other members of the University community.
Possess excellent listening, communication, and organizational skills.
Have the multitasking skills essential to work efficiently in a fast paced environment
Exhibit intermediate skill level in the use of Microsoft Word, Excel, and Outlook applications.
Have the ability to master specific university marketing software.
