This position is in the Department of Pediatrics Central Administration. This position is for the Medical School Campus.
Position handles all aspects of purchasing in support of multiple divisions in the Department of Pediatrics.� This position orders goods and services, pays invoices, processes reimbursements and payments, and processes interdepartmental invoices.�
PRIMARY DUTIES AND RESPONSIBILITIES:
Code documents with correct account number and accounting codes ensuring compliance with University and Pediatrics guidelines.
Read, refer and be familiar with University and Pediatric policies and procedures for appropriate use of funds.� Assist faculty and staff with identifying appropriate funds to use.
Enter documents on-line (PO, BO, CO, CR, TA, TR, BA, etc).
Process travel advances, travel expense reports, and moving/relocation expenses.� Keep file of travel advances to link to travel expense reports appropriately.
Check status of documents and follow up with appropriate parties as needed. Notify appropriate Financial Manager if there are issues.
Obtain signatures according to department and university guidelines.
Strive for all approvals to Financial Managers by 3:00 p.m. daily including appropriate back up and approval/signatures as needed.
Check for ID’s and IN’s on a weekly basis at a minimum. Obtain approval and fund assignment as needed.
Match, verify, process receiving reports, and file packing slips as needed with PO’s to ensure a complete status.
Maintain files, varied accounting reports and purchasing documentation.� Assist with audits as needed.
Communicate with divisions regarding orders, reimbursements, maintenance and service contracts, etc.
Attend training sessions/seminars related to purchasing and department policies.
Act as liaison between vendors, assigned areas and the Purchasing, A/P, and Tax departments.
Monitor and clear open encumbrances in a timely manner.
Follow University’s year end closing procedures.
Keep assigned default accounts at $0 balance and process journals for ID’s that hit the default account.
Assist others during downtime and provide backup for other purchasing assistants.
Assist with special projects as needed.
Equivalent of High school diploma, with some college accounting course work, and 5 years experience in accounting and bookkeeping.
Working knowledge of general office equipment and computers with accounting and organizational skills, including experience in FIS system utilization.
The hiring range for this position is $16.31 - $20.39 per hour.
