Fellowship and Residency Program Administration Manages and facilitates annual meetings for faculty, residents regarding the program to include: o Education Committee o Clinical Competency Committee o Program Evaluation Committee Manages and approves time off requests of residents/fellows to allow for proper coverage. Creates, implements and maintains policies, processes, and timelines for the residency/fellowship program. Creates and maintains up-to-date manuals for the residency/fellowship program. Works with the Program Director to streamline administrative functions for continued program accreditation. Meets with residents and faculty to resolve issues/concerns. Investigates and responds to any complaints, inquiries and requests that pertain to the training program. Manages confidential personnel issues while ensuring legal compliance and integrity. Collects and maintains accurate personal files on current and former residents/fellows to include verification of credentials. Liaison to communicate and facilitate residency/fellowship training program system policies and practices: Advises Program Director and assist in decision making on matters of program concern. Mediator for the program to help clarify issues between staff, faculty, and residents. Acts on behalf of the Program Director to keep residents, faculty, and staff up-to-date on matters of policy and processes for the residency/fellowship program. Interacts with vendors to ensure business needs are met in a timely, efficient manner. Oversees resident submission and compliance to the ACGME duty hour requirements. Monitors resident duty hour submissions and provides a duty hour report to the Program Director monthly. Follows-up on duty hours violations to determine the violation validity. Works with the Program Director to resolve trends in duty hour violations. Trains residents on entering duty hours in the GME Resident Management System. Manages the residency/fellowship performance evaluations process. Develops and maintains evaluations in the GME Residency/fellowship Management System and ensures the evaluations provide data to evaluate resident performance on the ACGME program milestones. Creates and implements a comprehensive, confidential evaluation process for the training program. Monitors timely completion of resident/fellow performance evaluations. Ensures that all performance evaluation types mandated by ACGME are completed as delineated in the program requirements. Responds to resident and faculty inquiries and concerns regarding the evaluation process. Facilitates feedback process to division directors on faculty and rotation evaluations. Manages the Clinical Competency Committee meetings. Responsible for accurate submission of resident performance data provided by the Clinical Competency Committee into the GME Resident Management System and ACGME Accreditation Data System. Manages the mandatory annual program review process: Manages the formation and maintenance of the Program Evaluation Committee (PEC). Monitors the PEC meetings to ensure all aspects by ACGME are discussed and documented. Creates processes and forms to gather metrics to support the program ACGME Annual Program Evaluation report and ensures the submission of this report to ACGME and the GME administration. Manages action plans identified by the PEC and provides the Program Director and GME administration with status updates. Responsible for informing residents on the availability of the ACGME Resident Survey and monitoring submission compliance. Regulatory and Accreditation Program Administration Primary contact person for national and state regulatory queries. Enters and maintains program information in Web ADS o Program attrition o Program characteristics o Scholarly activity for faculty and fellows o Board pass rates Responsible for providing accurate CMS documentation for Medicare reimbursements. Keeps current on regulatory and accreditation requirements mandated by ACGME, the North Carolina Medical Board, and Subspecialty Boards. Accurately responds to questions from faculty, residents, leaders and staff about issues related to documentation and monitors compliance. Develops, implements and maintains policies to comply with the Joint Commission, ACGME, COCATS, ABIM and Vidant Medical Center. Manages aspects and prepares all documents for ACGME site visits. Monitors resident training schedules to ensure residents/fellow meet requirements to take their boards exam. Manages educational/training activities with the Program Director to ensure uniform interpretation and application of organizational, departmental and national policies and standards. Responsible for auditing the data in the GME Residency/fellowship Management System (New Innovations) to ensure accuracy of the data. Serves as department wide resource regarding the training and use of the GME Residency/fellowship Management System Works with physician leaders and administration to develop, manage and implement effective resident recruitment and selections strategies: Evaluate recruitment progress and create recruitment plans. Ensures candidates meet program minimum program requirements. Utilizes and maintains applicant tracking system (ERAS) and creates and disperses applicant information to leaders and faculty. Provides for a successful and professional residency/fellowship interview experience. Creates individual itineraries, arranges tours, faculty interviews, luncheons or dinners and other related interview needs. Creates, disperses and collects candidate interview assessments. Advises leaders and selection committee on interview and candidate selection. Directs the flow of residency/fellowship selection in the MATCH process. Selects and negotiates contracts with local vendors used in the recruitment process Professional development Represents East Carolina University, East Carolina Heart Institute and the training program at the local, regional, and national levels. Is the liaison for various committees and implements committee decisions. Participates in local, regional, and national peer groups. Researches local and national trends in the field of resident/fellowship recruitment and employment. Actively pursues educational opportunities to foster growth of leadership and mentoring skills. Provides backup to other fellowship coordinator with Thoracic and Vascular Surgery Programs.

Organizational Unit Overview:
The Brody School of Department at East Carolina University (ECU) is composed of 18 departments which function to: 1) provide health care for the citizens of eastern North Carolina; 2) educate primary care physicians to meet the health care needs of eastern North Carolina; and 3) make medical education available to minority and disadvantaged people. The Department of Cardiovascular Sciences (herein referred to as Cardiovascular Sciences or CVS) is the university's newest department, and is a primary contributor to the School's mission of medical education, patient care, research, and community service. Playing an important role in the Brody School of Department's academic group practice, the Department of Cardiovascular Sciences consists of the Department Chairman, two Medical Directors of Clinical Services, four leadership core units (Department Administrator, CVS Operations Committee/Section Chiefs, Nurse Administrator, and Vice Chairman and Director of Research), and seven clinical and educational divisions. The primary roles of education (students, residents, fellows and continuing medical education), clinical services (Structural Heart Disease, Electrophysiology & Arrhythmias, Heart Failure, Primary and Secondary Prevention, and Vascular Diseases), research (clinical and basic bench research in cardiovascular clinical care, clinical trials to develop new treatments for cardiovascular disease, educational programs for local, regional, and national health care providers, and wellness and prevention programs), academic affairs/faculty development, and administration (business and clinical support services) are led by the Department Chairman and CVS Operations Committee. The clinical sections represented in Cardiovascular Diseases include: Structural Heart Disease, Electrophysiology & Arrhythmias, Heart Failure, Primary and Secondary Prevention, and Vascular Diseases. There are currently 40 MD and PhD faculty members, 20 Fellows, and 8 Physician Extenders and Cardiovascular Sciences Technicians. A clinical, administrative, and research support staff numbering nearly 160 CSS and SPA employees provides support to the Department of Cardiovascular Sciences' faculty and learner groups. Subspecialty fellows (fully trained internists receiving training in a clinical subspecialty within Cardiovascular Sciences and Internal Department) currently number fifteen. The majority of the department's educational, clinical and research activities take place within the context of the East Carolina University Brody School of Department and the University Health Systems of Eastern North Carolina-Pitt County. The central component of the medical center will be the new East Carolina Heart Institute (ECHI).
