Rutgers, The State University of New Jersey, is seeking an Administrative Assistant for SEBS – Department of Food Science. This position provides administrative support to the Chairperson of the Department of Food Science (15 faculty members) and the Chairperson of the Department of Nutritional Sciences (16 faculty members). This role provides general administrative support to these departments. The Administrative Assistant’s work is done independently with minimal supervision and authority is delegated to the position by the Department Chairs to promote efficiency of operations.
Among the key duties of this position are the following:
Provides administrative support to the respective departments by managing bi-weekly seminars and endowed lectureships, including all related travel arrangements for domestic and international invited speakers.
Manages the TABER process for students and faculty of both departments.
Manages calendars and arranges travel schedules and logistics for both Department Chairs.
Processes documents in the RIAS and HCM Payroll systems covering departmental purchases and employee time reporting.
Works with Chairs to transcribe minutes for monthly faculty meetings.
Minimum Education and Experience:
Requires a bachelor’s degree or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping and/or report writing.
Independent work ethic and university experience with faculty, staff, and students preferred.
Must be proficient in using computers for work related to the position, such as e-mail and Microsoft Office software.
Physical Demands and Work Environment:
Minimal physical demands – the position is primarily an administrative desk position.
