The Cornell Cooperative Extension of Orange County Data Entry & Operations Coordinator will serve as the designated individual, working with the Supervisor, operating the Association data base program, Donor Perfect. This position maintains the entering of new and updated customer and account information, preparing reports and correspondence, assist staff with program forms & reports. Will produce financial, registration and invoices from the data base as needed. Perform technical aspects of accounting data entry and functions according to established procedures and policies. This position will also provide, along with the Supervisor, general/basic IT functions to the staff as needed.
Associates Degree and experience relevant to the role of the position. A GED/High School Diploma plus 1 year of transferable program/functional experience may substitute for an Associate's degree.
Ability to meet motor vehicle check requirements and ability to meet travel requirements associated with this position.
Ability to work flexible hours which may include evenings and/or weekends, as appropriate.
Ability to demonstrate positive customer service skills, good communication skills and work well in a busy program setting.
Ability to thrive in an open office without walls setting, with occasional to frequent distractions and opportunities to demonstrate positive collaboration among staff, visitors and program participants.
Computer Skills: High level in word processing (Microsoft Word), spreadsheets (Microsoft Excel) database and internet software, and Access. Demonstrated ability to perform advanced MS Excel and database functions including creating, manipulating, reporting, and maintaining electronic spreadsheets and databases.
Ability to read and interpret documents such as instructions and procedure manuals.
Ability to write routine correspondence.
Ability to speak effectively with customers and employees.
Able to use good judgment in analyzing facts and circumstances surrounding work situation problems or transactions and in determining action to be taken within limits of standard or accepted practices.
Ability to handle administrative details, to work under pressure, and organize work into priorities with emphasis on effective time management.
Demonstrated ability to work independently, and also work effectively as an administrative staff member.
Ability to frequently carry and/or transport supplies and equipment.
Proficiency in data management and a variety of computer software applications.
Good bookkeeping experience.
Direction - 5%
Assist with planning for delegated and assigned administrative functions, expenses, marketing/mass media, and staffing needs of the Association.
Management - 25%
Assist with guiding and leading the administrative functions including bookkeeping, marketing/mass media, staffing needs, database management, event/ program registrations, IT and general correspondence.
Communicate with Supervisor and program staff to ensure accurate and timely data collection.
Quickly identifies and reports to the Supervisor issues or problems that arise. Offers solutions to help ensure program needs are met.
Coordination/Operation - 65%
With moderate initiative and limited discretion, performs a variety of complex tasks to support the administration of the Association and departments as assigned.
Serve as designated individual, with Supervisor, as "Point of Contact" for Association Donor Perfect database program.
Track and record pledge and donation payments, issuing "thank you" correspondence. Provide correspondence for appropriate signatures and then mailing.
Assist staff in Donor Perfect form set up, including, but not limited to: form directions, retrieve information for header/footer information; enter fields, links, etc.; create filters; creating codes as needed; and other reports and fields as needed.
Prepare and maintain financial reports including monthly, quarterly and annual financial reports including, but not limited to: registrations, pledges, donations, correspondences, invoices, membership fees and campaign reports.
Maintain strict confidentiality of all donor records at all times.
Conduct data entry, database maintenance and report production activities.
Assist in the preparation and uploading of Constant Contact linked to Donor Perfect database.
Prepare invoices and required billing documents for funds owed to the association for supplies, services, programs fees, registration fees, pledge payments and donations.
Assist in the preparation of financial reports as needed.
Record cash receipts deposits and Donor Perfect account revenue.
Prepare internal and external reports for staff, board and Association as requested.
Work cooperatively with staff.
Maintain communication with Supervisor to ensure appraisal of all issues and/or concerns relating to areas of responsibility.
Assist with program outreach events as necessary.
Assist Supervisor with general/basic IT functions as needed.

In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.
Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.
