The B2B (business-to-business) Programs Manager supports the design, development, and delivery of Georgetown University School of Continuing Studies (SCS) custom and off-the-shelf contract education programs for organizations . S/he handles the daily administration of these programs, including planning and managing the logistics, arrangements, contracts, and payments to ensure a high-quality educational experience for all participants and seamless transactions with vendors. In addition, the incumbent supports the Senior Director of Custom Programs and the Senior Project Manager for China in the program design and development process, including identifying opportunities, proposal writing, budget development, attending client meetings, and collaborating with faculty on program agenda and content. Providing customer service support to students and faculty, as well as occasional support of professional and executive certificate program logistics, the B2B Programs Manager has additional duties that include but are not limited to:
Liaise with the Program support staff in order to: contract adjunct lecturers and guest speakers, track student payments, when applicable, and support awareness of SCS B2B Programs and increase enrollments.
Manages the student registration and information system, including but not limited to: setting up the corporate portal for participant registration, supporting participants in the creation of student accounts, manually registering participants in courses, creating course sections/courses, and approving final grades.
Prepares program materials, including but not limited to: placing book/article orders, creating folders with handouts, agendas, and other program information, and preparing course rosters, certificates, name tags, name tents, and anything else when needed.
Serves as the point of contact for both program participants and faculty, including proactively assessing their needs and making arrangements to meet those needs as appropriate.
Administers and summarizes program evaluations for areas of improvement.
Responds to inquiries in the SCS B2BPrograms email account and from online inquiries captured by SCS' marketing software.
Liaises with SCS Operations and SCS Events teams on program details and logistics, including but not limited to reserving rooms and event spaces at SCS, and other Georgetown University campuses.
Determines and reserves appropriate vendors for catering, A/V, lodging, translation (if applicable), and transportation in a variety of U.S. cities and abroad.
Makes all arrangements for study tours in a variety of U.S. cities and abroad, including but not limited to national and multinational corporations, political offices, embassies, think tanks, and tourist sites.
Manages classroom and venue logistics, including but not limited to room/venue set up and break down and A/V needs.
Liaise with the Non-Degree Programs finance team to reconcile all program-associated financial transactions
Serve as Contract Specialist for Non-Degree Custom Programs, which includes Summer and Special Programs, the English Language Center, and SCS Custom Programs, to manage all revenue-generating agreements and invoices
Support the development of program budgets and manage program budgets
Negotiate contracts with vendors and ensure timely submission and approval of contracts
Follow up on and make vendor payments, resolving any issues that may arise
Liaises with the Non-Degree Programs instructional design team to support the development of online custom programs.
Creates courses in Georgetown's online learning management system and manage student participation/questions.
Supports the program design process, which includes the: initial client intake/needs assessment, development of program descriptions and objectives, and collaboration with subject matter experts to create program agendas and content.
Attends client meetings and assists with the development and delivery of presentations as needed.
Research and Other Duties
Liaises with the SCS Data Analyst to support the research and development of new custom program opportunities.
Researches and recommends faculty and guest speakers to teach in Custom Programs, as well as organizations, think tanks, and whatever else is needed for study visits.
Prepares operational reports as needed.
Other duties as assigned.
Requirements and Qualifications
Two to three years of office management experience, preferably in a university or educational delivery setting
Demonstrated ability to effectively serve diverse personalities, maintain poise and professional demeanor, diplomacy, and tact
Proficiency with Google, Microsoft Suite (especially Excel)
knowledge of Canvas (or other LMS systems) and the DestinyOne student information system is preferred
Outstanding communication skills - both verbal and written
Demonstrated ability to handle complex, multiple logistics arrangements
Strong orientation to detail, deadlines, and customer service
Demonstrated experience with proposal writing preferred
