The AdministrativeCoordinator I provides standardized office support for the AVC StudentAffairs and Enrollment Services (SAES). Thisposition manages day-to-day operation of the SAES One Stop Shop (OSS) frontdesk and coordinates OSS staff schedules and assignments to perform SAESadministrative duties for functional units. The Administrative Coordinator managesthe operational budget for SAES units and automation projects (e.g. Banner,CAS, On base, Ethos) by reporting expenditures and allocation of funds andsources on a regular basis. This position advises functional units on budgetplanning, analysis and available funding sources.
Provides highest level of administrative support to the Associate Vice Chancellor (AVC) for Student Affairs and Enrollment Services and direct reports (e.g. Admissions, Financial Aid, Registrar) for a wide range of complex problem-solving projects and assignments.
Serves on the SAES Leadership Team and delivers communication and correspondence, including providing direction, assignments, and expectations to team members, on behalf of the AVC.
Provides supervision of schedules, workflows, and assignments for OSS staff in support of SAES functional units and the college students, faculty and staff.
Assists AVC with budget development and monitoring of funds for Student Affairs and Enrollment Services and Banner.
Prepares monthly probable budgets and expenditure reports for the AVC SAES and AFSA Business Manager.
Monitors expenditures and maintains records to assure accuracy and compliance. Manages departmental payables and receivables and determines funding sources.
Oversees receipts and invoices, reconciles statements and all aspects of payroll and timekeeping including staff leave management.
Processes travel for department staff.
Processes contracts for consulting services and SAES automation projects.
Develops and coordinates various orientations across the university, for Deans, college administrators, students and staff.
Develops presentations, edit/proofing of documents, drafting and editing guidelines, procedures, and prepare documents for meetings.
Performs other duties work on special projects as assigned.
