Administrative Specialist II AgResearch Administration
This position provides comprehensive administrative and accounting support for the Executive Director and the AgResearch Dean's office as needed.
Duties include but are not limited to: *Prepares, edits, and proofs internal and external correspondence. *Greets and receives visitors and manages calendar appointments. *Serves as initial point-of-contact for the Executive Director for all external (public/governmental) and internal (university) units and clientele. *Prioritizes incoming questions, requests, or problems and provides answers/solutions. *Maintains confidential records/files on active, upcoming AgResearch and AgResearch and Education Center (REC) construction and renovation projects. *Compiles data and prepares reports (spreadsheets and documents) to support AgResearch including AgResearch and Education Centers. *Coordinates and executes UT AgREC Facility Database, Schedule D for RECs, and National Science Foundation Survey of funding and facilities. *Prepares presentations utilizing MS PowerPoint and other video/picture/graphic media. *Provides administrative support for the Executive Director's leadership role in regional and/or national organizational meetings. *Plans, coordinates, and manages special events including public Field Days including internal/external meetings across state. Assists Center Directors at research and education centers with field day needs. *Assists with the planning and execution of AgResearch special events including regional/national meetings, conferences, seminars, and retreats. *Assists with coordinating highly-visible, state-wide annual activities for events like "AgDay on the Hill" and Farm Bureau meetings; arrange accommodations and coordinate meeting spaces. *Coordinates all travel arrangements and reimbursements for Executive Director. Serves as backup for T-25 Direct Bill Airline Ticket, Travel Reimbursement Audit for Dean's office. *Provides administrative support to Dean's office as needed.
