ADMINISTRATIVE ASSISTANT 1 , Office of the Provost-Venture Mentoring Service (VMS) , to execute administrative tasks critical to the effectiveness of VMS. Responsibilities include responding to basic questions/concerns of entrepreneurs/mentors/guests; scheduling mentoring sessions and other meetings between VMS mentors and mentees; working with the operations manager to identify and match mentors to entrepreneurs; maintaining office calendar and coordinating use of conference rooms and other resources; working with the program assistant on data entry and on providing on-site preparation for mentoring sessions; file maintenance; providing meeting reminders and all necessary/relevant meeting materials to mentees and mentors; assisting with on-going maintenance of office space; monitoring office supplies; assisting with preparations/logistics for events; taking notes at weekly staff meetings; and performing other duties as needed.
VMS currently works with over 170 volunteer mentors and more than 280 venture start-ups to provide free, confidential, and unbiased business guidance to members of the MIT community.
REQUIRED : high school diploma or its equivalent; at least two years' secretarial/office/related experience; proficiency with Microsoft Outlook for email and Dropbox for file management/sharing; strong working knowledge of Microsoft Excel and Word; familiarity with QuickBase or other database tools; excellent organizational and verbal and written communication skills; attention to detail; and tact, discretion, and good judgment with confidential/sensitive information. Must be able to set priorities and juggle several activities simultaneously; follow directions closely; research/troubleshoot problems; ask for assistance and receive feedback as needed; create a welcoming environment for guests; work both independently and as part of a team; and adapt quickly to last-minute changes in a fast-paced environment.
