The University of Chicago Law School is seeking a Building Services Coordinator. This role will be a resource to Law School community members, and will carry out essential facilities tasks and responsibilities.
Provide exceptional customer service in response to questions and concerns received by the building services team
Respond quickly, calmly, and efficiently to urgent facilities issues
Understand and follow University and Law School building processes and procedures
Assist the Director of Building Services with construction and building projects
Assist the Director of Building Services with onsite repairs as needed
Assist with managing facilities vendors, as directed
Provide assistance with event set-up and tear-down
Collaborate with the department of events, to ensure events run smoothly and efficiently
Receive, sort and distribute mail, building-wide
Assist with workspace shifts, office moves, and employee workspace requests
Process minor financial transactions for the building services team as directed
Oversee the Law School phone system
Monitor Xerox status, ensuring necessary supplies and materials are stocked
Update and maintain floor plans, seating and building maps
Update building services documents as necessary (emergency response plans, etc.)
Order supplies and materials as directed
Staff the lobby front desk during break and lunch times, on rotation
Perform related duties as assigned by the Building Services Director
Ability to work evening hours with advance notice
Ability to exercise excellent judgment and make appropriate exceptions to policies when allowed
Ability to stay poised under pressure and maintain professionalism at all times when interacting with patrons, staff, students, faculty and others
Excellent problem-solving skills and the ability to recognize and refer problems when appropriate
Strong oral and written communication skills
Ability to work independently without constant supervision
Ability to prioritize a task and complete work fully and in a timely manner
Ability to work effectively on multiple concurrent tasks both independently and under constant interruptions
Manage interpersonal relationships and interact/communicate with clarity, tact and courtesy with patrons, staff, faculty, students and others
Use or learn a range of position-related software applications
Education, Experience, Certifications:
High School Diploma or equivalent required
Associate's Degree or Bachelor's Degree preferred
Minimum of 2 years of professional experience required
Prior customer service experience preferred
Experience in facilities or building services preferred
Working Conditions and Physical Requirements:
Ability to life and move boxes up to 50lbs
Ability to crawl or kneel on a regular basis
Ability to sit, stand or move continuously for prolonged periods
