Provide highly skilled administrative support services; responsible for campus auxiliary services, facility management, event support, and enrollment management reporting and support.
Administrative and Event Support: Develop letters, memos and email communications on behalf of the Director; Maintain office equipment and office supplies; Provide logistical and communication support for campus events as directed by Coordinator; provide administrative and records management support for professional development offerings; Print out weekly building calendars and distribute; Serve as administrative liaison with other departments on campus; Variety of research, data entry, and presentation related projects. Class Schedules and Reporting: Assist Director with developing and inputting class schedules and room assignments; review MyMav and other locations for accuracy; input into the building calendar; Maintain daily, weekly and semester enrollment documents, class rolls, and head counts. Facility Management: Responsible for coordinating the daily building walkthrough to identify any janitorial issues, potential safety and security vulnerabilities, equipment readiness, building maintenance requirements, and ensure aesthetic consistency. Correspond with campus support departments or the third-party custodial services and property management companies to ensure repairs and services are completed as needed. Maintain productive and consistent working relationships with support services contacts. Campus liaison and coordinator for all recycling and sustainability efforts. Auxiliary Services: Responsible for retail market operations, including, maintaining and purchasing inventory; supervise assigned student workers; review and adjust prices as needed; make daily deposits and maintain financial records; Monitor and maintain equipment and relevant policies and procedures for other campus auxiliary services including vending, library, exercise facilities, campus security, student lounge and break areas. First point of contact: telephones, face to face with faculty, students, and visitors during operating hours. Has initiative to successful make decisions independently at times and effectively coordinate, route, and resolve issues or questions. Evening and weekend point of contact for support service issues. Performs other duties assigned.
Bachelor’s degree. Two (2) years upper level secretarial experience with six (6) years of increasingly responsible administrative, secretarial and clerical or the equivalent experience.
