The Associate Business Manager will be an integral part of the College of Fine Arts Finance and HR team. This position will support college and unit budget planning and forecasting; data analysis; oversight and execution of annual reappointment and other human resource/payroll processes, and procurement practices and regulatory compliance.
This position will be responsible for providing advanced financial support for the college, schools, and units, including developing, maintaining, analyzing, and forecasting multi-year budgets throughout the annual budgeting and planning process. Provide financial support by planning, tracking, and analyzing budgets. Create, review, and audit monthly reports for Dean's Office, school, and unit accounts. Review historic performance against the budget. Work with principle investigators to create, review, track, and report grant budgets as needed.
In conjunction with HR liaison, this position will be responsible for human resource and payroll functions for the college. This position will approve (and in some cases create) contracts, including ICD contracts and paper contracts. This position will take ownership of annual reappointment processes, manage ACA compliance, and facilitate hiring processes. Responsible for PeopleAdmin for the college, including reviewing, and occasionally creating, requisitions. Creates and reviews faculty offer letters and coordinates staff offer letters with University Human Resources, including start-up funds and moving expense arrangements. Takes ownership of all Performance Management processes for units under the College of Fine Arts, including setting schedules, communications, reminders, filing, and tracking of each component of the cycle. Sets up hourly staff, including students, in Workforce, monitors timesheet submissions, and helps trouble-shoot issues. Provides Absence Management support as needed. Responsible for managing the eCam contract processes, including confirming facilitators hire status, calculating compensation, coordinating contract entry and approval.
This position will be responsible for managing positions and compensation data, including providing data to CFAO and others regarding salaries, positions, staffing plans, FTE, etc. Will annually review compensation issues and advise on new PDQs. Maintain compliance on HR and payroll policies. Develop and recommend college policies as needed.
This position will provides complex data analysis as needed for special projects, including, but not limited to, scholarship analysis, graduate program analysis, budget model distribution, revenue generating program analysis, and new program development. This will include financial and non-financial data. Provides training on best practices, Excel, etc.
This position will additionally provide some transactional/ compliance responsibility for Concur, BobcatBUY, journal entries (including preparing, reviewing, and uploading journal entries), internal billing authorizations, budget transfers, and internal award set-up and maintenance. Must be familiar with procurement compliance rules and regulations. Develop workflow processes to help create efficiencies within the college. Attend university committees, work groups, and partner groups as needed. Completes other duties as assigned.
At least three (3) years of related experience in Business, Accounting, Human Resources, Finance, or a related field.
Bachelor’s Degree, preferably in a Business-related discipline.
Master’s Degree preferred.
