The Department of Health Policy and Management (HPM) is committed to training and inspiring the next generation of health care leaders. The Administrative Coordinator will work closely with the Department Administrator and Department Chair to ensure smooth implementation of a variety of department-wide activities and initiatives. They will provide critical day-to-day support to the Department Administrator, Department Chair, and department operations as a whole.
Duties and responsibilities include, but are not limited to, the following:
Provide administrative support including calendar maintenance and scheduling, tracking of deliverables, speaking engagements, coordination of reimbursements and travel arrangements, and monitoring of deadlines
Draft correspondence, prepare documents for dissemination, and facilitate communication through coordination of meetings and conference calls
Lead planning and implementation of departmental-wide events and symposia
Negotiate with caterers and vendors, prepare agenda and coordinate logistics of events
With Department Administrator, coordinate staff and faculty recruitments including position postings, search committees, interview schedules and report writing
Coordinate all aspects of the reappointment process for secondary, adjunct and annual appointments,
Develop and maintain various projects to support research and curriculum development
Provide administrative and technical support to faculty including assistance with course/research project logistics and implementation
Maintain effective and collaborative working relationships with administration, research teams, and central offices
Lead departmental communications, including social media strategy, Twitter updates, newsletter, faculty research profiles and development of materials for internal and external audiences
Refine standard operating procedure for updates, implementation of updates for faculty members and departmental pages
Draft and modify PowerPoint presentations per direction
Provide for smooth day-to-day flow of communications within the chair's office and among departmental faculty and staff
Gather and maintain data for and assist in preparing reports, often using a variety of computer software
Assist with special projects and initiatives generated by the department, its faculty and/or the School
Performs other duties as assigned

5+ years of related experience; a combination of education and experience may be considered
Bachelor's Degree is strongly preferred
Experience in an academic environment preferred
Experience with all Microsoft Office products strongly preferred
Experience with social media and communication platforms strongly preferred
Ease and rapidity in making multiple changes to documents preferred
Excellent communication skills (written and verbal) preferred
Establishes and maintains positive working relationships with units across the organization preferred
