Rutgers, The State University of New Jersey is seeking a Secretary I for the Department of Surgery at the Rutgers Robert Wood Johnson Medical School.
The Secretary I provides administrative and clinical support to Acute Care surgeons in the Department of Surgery, schedules and pre-certifies surgical cases, provides high level confidential, secretarial services and assists with the administrative activities within an office or department. This position coordinates the activities for assigned projects and programs, performs a variety of secretarial services and provides administrative support within the Division of Acute Care Surgery to faculty and other support staff.
Among the key duties of this position are the following:
Schedules patients for procedures and surgeries and obtains insurance pre-authorizations
Scanning and maintaining patient information in the electronic medical records
Patient contact as needed over the phone to assist in scheduling appointments, or answering administrative questions
Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities
Answers telephone calls and maintains a schedule of appointments/meetings for attendings using Microsoft Connect
Responsible for taking minutes at faculty meetings as requested by faculty.
Arranges and coordinates travel schedules, reservations and prepares travel materials for attendings
Completes purchase orders in Marketplace, check requests and other University forms and maintains logs of same
Minimum Education and Experience:
Graduation from an accredited program in secretarial studies, plus four (4) years of full-time secretarial experience
An additional year of experience is required in lieu of the secretarial program
College credits may be substituted on a year-for-year basis for secretarial experience
Up to sixty (60) credits may be substituted for two (2) years of secretarial experience
Required Knowledge, Skills, and Abilities:
Proficiency in typing and experience with word processing packages
Experience with additional software packages including Microsoft Office Word, Excel, PowerPoint, Outlook Exchange as required by the department
Demonstrated interpersonal skills
Proficiency in the use of SCM, IDX, and EMR
Experience with scheduling patients for procedures as well as obtaining insurance pre-authorizations
Medical terminology knowledge
