Assist any patient or visitor upon entry with information, directional way finding and external directions as needed. Additionally, assist with patient and visitor entry and exit for services at the health center.
Provides general clerical support in a patient care environment. Arranges and coordinates support and ancillary services for patient care. Provides exceptional customer service to patients by facilitating business processes including appointment scheduling, check-in and check-out, pre-arrival and telephone triage. Provides administrative support for clients based programs. Responds to inquiries concerning department programs, services and activities.
Receive and assist patients, visitors, and staff.
Assist with parking lot needs, opening doors and providing direction/wayfinding.
Assist patients and visitors from or into cars with wheelchairs, umbrella, directions and/or ambulance way finding.
Escort patients and visitors to and from locations within the health center.
Organize wheelchairs, assuring availability and manage when wheelchair maintenance and/or fixes are needed.
Keep vestibules clean/tidy
Schedule patient appointments with patients and/or referring clinic when necessary.
Document the correct questions to assure accurate billing information is obtained and required referrals/authorizations are met
Verifies insurance eligibility, ensures referral and other authorization requirements are met.
Collect co-pays and outstanding balances to the patients and/or guarantor. Reconciles and balances receipts and payments collected.
Monitor waiting area activity and assure a clean, organized, and safe environment.
Promote personal comfort and convenience of patients and families by routinely checking their needs.
Provide information regarding hospitals and community services as needed.
Process and compile patient paperwork for exams and clinical staff.
Answer incoming phone calls and triage to appropriate location.
Accurately record any InBasket messages and assure they are forwarded appropriately.
Call patients to remind them of upcoming appointments.
Utilize paging system to contact appropriate staff as required.
Prepare patient itinerary and all other appropriate correspondence.
Perform other related duties as assigned.
High School Diploma or GED.
0 -2 years of experience.
Exceptional interpersonal skills and ability to work well within a team setting.
Demonstrated effective verbal, written and information technology communication skills.
Must be very comfortable working with computers and have a general knowledge of office practices.
Requires flexibility in all aspects of work assignments.
Demonstrated excellent attendance and reliability are required.
Must be a team player with ability to take direction and communicate with peers and patients courteously and respectfully at all times.
Ability to multi-task and work in a high volume area is necessary
Associate level: 2-3 years of related experience.
Assistant level: 0-2 years of related experience.
Knowledge of check-in, check-out, and outpatient scheduling utilizing MiChart (EPIC-Cadence) system.
Clerical experience and medical terminology are helpful.
Experience working within a large, complex healthcare setting.
Familiarity with Michigan Medicine's electronic health record setting.
Knowledge of university policies & procedures.
Monday through Friday, 6:00 AM – 7:00 PM with potential Saturday coverage 8:00AM - 4:00PM based on clinic needs. We are flexible in scheduling, and request that you are also flexible in working various shifts.
This position may be underfilled at a lower classification depending on the qualifications of the selected candidate.
