Mailman School of Public Health is seeking an experienced, highly engaged and progressive Administrator for the role of Project Manager supporting the Vice Dean for Finance and Administration (VDFA). The Project Manager serves as the principle aide and chief liaison for departmental operations that reports to the VDFA. The Project Manager provides guidance for highly sensitive projects, manages a wide range of issues related to the office of the VDFA by tracking and advancing the VDFA's priority projects. The incumbent is expected to manage highly confidential and sensitive issues for the VDFA and develops solutions to a wide range of issues.
Manage and coordinate the administrative operations of the VDFA to advance all strategic priorities and initiatives.
Provide day-to-day operational support to the VDFA to ensure seamless functioning and management of the VDFA's Office. Manage the follow-up on action items, facilitate communication among and workflow between the VDFA and key departments within MSPH and throughout the Columbia Community.
In conjunction with the Sr. Administrative Coordinator, monitor, schedule, and prioritize the VDFA's calendar and meetings, ensuring activities are managed efficiently and effectively in light of competing priorities and stakeholder needs.
Oversee/manage special projects/initiatives that requires cross-functional coordination and cuts across multiple departments with VDFA.
Partner in the development of project plans for Finance, HR, IT and Operations. Identify the deliverables, resources required (capabilities & budget), timing, dependencies and variables associated for each deliverable
Coordinate with MSPH Operations Team to provide space management analysis and tracking to support overall space management, including moves, reconfigurations, other.
Prepare agendas and briefing materials in advance of the VDFA's meetings and activities and ensure appropriate follow up actions are taken.
Project manage and assist in the completion of key deliverables across multiple units within the VDFA's business units.
Schedule and organize various meetings and other group events (Monthly Work Group meeting, Quarterly ISG meetings).
Generate progress reports and other duties as assigned.
Bachelor's degree in education and experience plus four or more years of related experience
Must be able to react with sound judgement to time-sensitive matters and manage other long term strategic initiatives.
Effective problem solving and analytical skills as well as the ability to handle multiple projects
Strong verbal and written communication skills
High emotional intelligence and superb interpersonal and organizational skills
Broad computer skills required, including Word, Excel, PowerPoint and project management software
Master's or other advanced degree and Project Management Certification (PMP, PgMP, PMI-PBA)
Five to eight years of related professional experience
Prior experience working in higher education administration or public health
