Bachelor's degree (foreign equivalent or higher degree). In lieu of a Bachelor's degree, four (4) years of full-time directly related experience in warehouse operations or a combination of higher education and experience totaling four (4) years may be considered. Two (2) years of experience in Warehouse Operations or inventory. Supervisory experience. Proficient in Microsoft Word and Excel. Must have, keep and maintain the appropriate valid NYS Driver's License; have a motor vehicle record which is free from major violations or a pattern of repeat violations. Experience with receiving shipments. Experience operating material handling equipment (e.g. pallet jack, forklift, etc.). Previous customer service experience. Prior experience a work order system and/or inventory system. Prior experience at a University or similar facility.
Brief Description of Duties:
The Warehouse Inventory Supervisor is responsible for planning, organizing, and monitoring the receiving, storage and distribution of all items received. Ensure a smooth and consistent operations so parts and supplies are located and distributed to proper departments in an effective and efficient manner. Additionally, this position is responsible for accurate record keeping, promoting safety and excellent customer service.
The Warehouse Inventory Supervisor is responsible for the inventory. Ensure daily inventory cycle counts of materials are performed within the Central Stores Warehouse. Ensure an annual physical inventory is performed and correctly entered into the work order system. Ensure accurate records of inventory transactions is kept maintaining the integrity of work order system. Ensure operations staff are utilizing work order system in order to accurately track materials, issued by and received into the Central Stores Warehouse. Ensure that the issuance of materials is timely, continuous in nature and meets the needs of the University. Ensure the receipt of all material is accurate and recorded properly in the computerized work order system and University procurement system. Precise receipt and disbursement to University community is essential. Schedule daily material deliveries to campus community.
Responsible for the organization of materials, parts and supplies within the Central Stores Warehouse to ensure optimal workflow. This includes preparing and presenting modifications to pallet rack shelving layouts to Assistant Director to ensure peak organization and space utilization. Operate material handling equipment such as pallet jacks and forklifts.
Responsible for the procurement of materials, parts and supplies using purchase orders, credit cards and other methods as appropriate utilizing state and local contracts while following Procurement guidelines including Preferred Source and MWBE mandates. Assist in remediating vendor issues with respect to materials, parts and supplies shipping status, arrival dates, supplier returns and disbursement to University Community. This requirement may include processing electronic requisitions, entering the appropriate information into tracking systems and utilization of the work order system.
Recruit, train and supervise staff members in the daily operation of the Central Stores Warehouse as well as completion of performance programs and evaluations. Oversee time and attendance, including scheduling and time management. Responsible for ensuring the satisfactory work performance of staff, to include Labor Relations issues such as verbal and written counseling and employee terminations. Ensure staff is compliant with all relevant safety training, as well as any University mandated training.
Establish new part numbers and descriptions for incoming Facilities Operations and Residential Operations products. Responsible for maintaining product catalogues, including barcode tags, photographs, signage. Monitor stock levels for obsolete parts to be deemed surplus to ensure maximum space utilization in the facility. Work with Property Control, Environmental Health and Safety, campus community and the Office of General Services to facilitate surplus of goods according to state regulations.
Ensure material handling equipment, vehicles and warehouse structures are properly maintained. Set up annual repair and preventive maintenance purchase orders. Responsible for scheduling maintenance and repairs, tracking expenses, reconciling invoicing.
Works with Assistant Director in developing policies and procedures for the Central Stores Warehouse and assists in the implementation of such policies, as directed. Develop staff training manuals.
Complete special projects and reports as requested and other assigned duties.
This is a full time appointment. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA.
