The Executive Staff Assistant/Office Manager provides high level administrative support for the Center for Technology Licensing's Executive Director's activities and calendar on the Ithaca and NYC Cornell campuses as well as meetings off campus. This position will conduct highly confidential surveys for key metrics, respond to inquiries and/or delegate to the appropriate person, and support complex analytical or business projects. Apply sound judgement when handling non-routine inquiries about technologies, businesses, and events.
The Executive Staff Assistant will also manage office functions including, making decisions for office events and special projects, coordinating personnel management issues internally with Executive Director and the HR department, supervising and mentoring the administrative assistant III, and supporting general office needs in coordination with the NYC office. This position will assist the Executive Director in the maintenance of organizational structure and staffing to effectively accomplish the organization's goals and objectives.
The Executive Staff Assistant will provide training for administrative tasks when needed. Coordinate the tasks to support various functions of the office.
A successful candidate will be a dedicated professional, experienced in handling a wide range of administrative, operational, and executive duties. The individual will be capable of resolving complex situations with sound judgement for various customers, vendors and personnel. Must also be well-versed in the mission, activities and responsibilities of CTL.
Associate's Degree or equivalent with 4 to 6 years of experience working in a fast-paced administration role. This position regularly assists with administrative duties that are sensitive and confidential. The individual in this role should consistently set a good example of professional discretion, diplomacy, independent judgement and decision-making skills. The candidate will have a demonstrated ability to work and communicate effectively and professionally with a broad and diverse range of constituents. Ability to thoughtfully balance conflicting priorities, work well with others as well as independently, have a positive service oriented attitude, good judgment, ability to learn, and willingness and ability to adapt quickly and easily under pressure are of the utmost importance. Proficient knowledge of a wide range of computer programs. Must have a creative mind with an ability to make improvements and problem solve. Individual will need to exercise independent thinking and understand how to balance conflicting priorities/tasks daily.
Be able to direct and mentor other support staff for various functions in different groups. Be able to support different teams and resolve challenging situations.
A bachelor's degree in communication, business administration or a related field.Proficiency in Cornell University and event planning experience is a plus. Experience in Cornell financial systems preferred.
