This position provides primary support for department chairs in the academic departments in STEM (Biology, Chemistry, Mathematics, Statistics, and Computer Science, Physics, and Psychology) and Religion. Such support may include coordinating departmental and divisional events; communicating with faculty, staff, and students; gathering, organizing, and maintaining records; and other general support as needed. This position also provides support for other priorities in the arts and sciences division.
Divisional and Departmental Support
Provide a common point of contact between the departments and Academic Advising, Administrative Accounting, Admissions, Classroom Services, Dean's Office, Events Services, Facilities, IT, the Registrar, Sponsored Programs, URGO, McNair, and the STEM Programs Office
Arrange meeting times and places for departments and related groups
Distribute mail and photocopying to departments
Coordinate of faculty, staff, and student worker searches for departments
Order and maintain standard office supplies and equipment (printers, furniture, etc.)
Administrative support for department event planning (alumni events, speakers, etc.)
Coordinate reimbursement requests and P-card submissions from faculty and ensure compliance with accounting requirements before submission each month
Maintain a repository and archive of critical departmental documents (e.g. statements of scholarship, annual reports, course descriptions, etc.)
Manage the administrative components of departmental scholarships and provide faculty with relevant student information upon request
Maintain a repository and archive of critical departmental data used for decision making, grant writing, assessment, and recruiting
Maintain current contact information for all active departmental members, staff, and student workers
Provide support for faculty engaged in summer research activities
Provide post-award support for faculty involved in sponsored research
Divisional Course Administration
Check student records for satisfactory completion of prerequisites and paired lecture/lab registrations prior to the start of each term.
Supply members of the department with information on transcripts, class lists, missing prerequisites, course scheduling conflicts, course scheduling errors, and catalog errors.
Resolve any room conflicts in real time at the beginning of each semester
Serve as a common point of contact and administrative support for all adjuncts to provide consistency across departments
Maintain current course descriptions and syllabi for courses offered
Facilitate coordination of all instructors of multi-section courses, especially those engaging adjuncts/new instructors
Outreach and Student Support
Field inquiries and provide information and direction during regular business hours about the department and college to students, instructors, and visitors.
Maintain distribution lists of students in departments/majors and communicate with those students about matters involving time-sensitive research/internship opportunities, departmental-specific program and registration issues, seminars, and other relevant events.
Provide administrative support (scheduling, event coordination, food ordering, etc.) for student groups and their faculty leaders
Manage student access to labs by coordinating and tracking all student key requests
Maintain active database of departmental donors, alumni, and contacts
Requires two years of specialized/formal education beyond high school, or equivalent; Bachelor's degree preferred.
At least one (1) year of relevant experience working in an academic environment.
Ability to show initiative; organize workflow; manage several projects; and handle frequent interruptions.
Ability to effectively collaborate with a wide range of people across several departments and prioritize work appropriately
Ability and willingness to learn new procedures as needed by the departments served.
Ability to be attentive to details, be accurate, be precise.
Ability to work effectively in a team environment; and work independently with little supervision.
Ability to reason/analyze; maintain confidentiality; and demonstrate patience, understanding.
