Job Description Summary
The Associate Director of Instrument Management Services and Customer Engagement is responsible for leading, facilitating, coordinating and delegating the processing and delivery of sterile instruments and equipment at Penn Dental Medicine. Responsible 24 hours a day for the staffing and management of these tasks/services in each of the units and or promoting policy and procedure development. Consistently follows the national standards for sterilization and accreditation, and for the acquisition, development, and utilization of resources (human and material) needed to fulfill those responsibilities. Works cooperatively with administrators, community, patients, staff, other managers and all customers of Penn Dental Medicine to provide services, which consistently meet and exceed the expectations of their customers. This is accomplished by assessing and prioritizing opportunities to improve, plan and implement effective changes and evaluate outcomes of process improvement activities. Models behavior consistent with Penn's competencies and mission of inclusion, innovation and impact.
Partners with diverse leadership teams to set department strategy , people and staffing operations and measurable, performance-based goals to support Penn Dental Medicine and University goals.
Creates and demonstrates knowledge of department policies and procedures regarding sterilization/high-level disinfection and consistently articulates same to staff, students, faculty and customer/community members.
Oversees the decontamination, cleaning, assembly, sterilization and high-level disinfection of all reusable instrumentation in various locations.
Maintains awareness of current regulatory requirements. Ensures department policies and procedures are in compliance with all applicable regulations and accreditation standards.
Participates in organizational committees and various task forces, work teams, and project teams to improve service, operations, process, communications and efficiency of department.
Monitors financial performance and identifies and implements strategies to reduce cost and improve quality of care/service
Ensures all equipment is maintained according to manufacturerâ™s specifications. Periodically evaluates condition, function and appropriateness of existing equipment, and makes recommendations for replacement and upgrading as necessary. Establishes and monitors cost containment efforts throughout the department
Partners with senior leadership, Human Resources, direct manager and peer supervisors/managers to proactively resolves human resources and employee engagement issues. Models professional competencies of leadership, diversity and effective performance management in addition to Penn's competencies.
Determines the appropriate staffing patterns for the department and develops processes to screen, interview, hire, train, and maintain the competency of all staff. Ensure consistently in application of rules, standards, codes of conduct, attendance and performance for staff and model an environment of inclusion, belonging and diversity.
Collaborates with various managers and senior leadership to assure staff competency and compliance with sterilization/high-level disinfection processes, documentation, record keeping, standards of practice and policies
Directly supervises managers and supervisors and oversees the supervision of the entire staff of the Department. Ensures assignments are understood and institutes appropriate follow-up to ensure the desired outcomes are reached. Allocates resources appropriately so that assignments can be accomplished
BA/BS andÂ a minimum of a 3-5 years of progressive leadership experience or equivalent combination of education and experience (required). Requires a high level of analytical skills to make management decisions at the department level and make recommendations for consideration of departmental issues.
Must possess a detailed knowledge of sterilization, quality control and infection control standards and techniques. Must have two years of experience in instrument sterilization or equivalent surgical education/experience. Knowledge of accrediting and regulatory standards pertaining to sterilization and disinfection required. Familiarity with a wide range of instrumentation, equipment, and sterilization modalities needed.
Possess or currently enrolled in a degreed program in a healthcare related field. Three years of Sterile Processing or as Surgical Technologist experience preferred.
Proficient in MS Office. Experience with inventory control and supplies. Experience with instrument tracking system. Experience with data analysis and presentation skills. Requires knowledge of teaching methods and counseling techniques in order to direct the growth of department personnel. Qualified candidates must be able to effectively communicate with all levels of the organization.
