Position Description The Assistant Enrollment Advisor supports the recruiting and retention efforts of the College of Continuing and Professional Studies (CCAPS). The Assistant Enrollment Advisor demonstrates CCAPS values of access, learning, inclusivity, collaboration, and excellence by working as part of a team to help prospective students from all walks of life discover CCAPS programs, learn about program opportunities and outcomes, enroll, and ultimately find success.
Much of the Assistant Enrollment Advisor’s time will be spent supporting the work of CCAPS Enrollment Advisors, maintaining accurate, timely, and comprehensive data, and organizing recruitment and retention events. The Assistant Enrollment Advisor will also work directly with students by phone or email to provide timely information and support. This position is a member of a comprehensive Marketing and Recruiting team and reports to the Manager of Enrollment Management.
Recruitment and Retention Support (40%) - Manage incoming recruitment inquiries and address them or refer them as appropriate to an Enrollment Advisor or other resources. Manage incoming CRM cases. - Welcome all inquiries and provide excellent customer service and timely response to phone calls and emails. Offer guidance and expertise on CCAPS credit and noncredit programs. - Support Enrollment Advisors in preparing materials, sending information, and coordinating visits. - Coordinate the creation and dissemination of recruiting documents, for example, information session materials/forms/packets, text for admissions letters/packets, materials for admitted students, etc. - Represent CCAPS and its programs at community colleges, college fairs, University events, community events, etc. - Monitor CCAPS social media accounts for opportunities for responses by Enrollment Advisors. - Back up Enrollment Advisors
Recruitment Event Planning (30%) - Manage the implementation of recruitment and retention events (information sessions, webinars, community events, tradeshows, etc.) to ensure a consistent, high-quality experience for potential learners. - Coordinate event logistics, scheduling, and materials. Work collaboratively with a Marketing project coordinator on event signage, displays, and materials. - Oversee campaign and web form creation process for the event using the College’s CRM system. - Coordinate college staff to work at events. - Attend events and coordinate onsite activities. - Act as a resource for other college staff managing events.
Data Management (20%) - Proactively steward the quality of CCAPS CRM data and information to ensure CCAPS’ ability to provide exceptional service, measure the impact of strategies and initiatives, and develop programs that continue to meet the needs of learners. - Thoroughly and accurately track learner interactions, interests, and progress in Salesforce and other CCAPS or University systems. - Perform CRM data quality procedures including but not limited to lead and contact deduplication, bad address management, opt-ins/outs. - Manage CRM cases for the recruiting team to ensure they are addressed in a timely manner and resolved appropriately. - Develop and run period reports in CRM for the recruiting team to ensure data accuracy and completeness. - Assist the Associate Director for Student Recruitment in building and updating tracking reports.
Administrative Support (10%) - Assist the Manager of Enrollment Management and Enrollment Advisors in setting appointments and managing calendars. - Organize shared electronic files enrollment area of Marketing - Manage CRM Knowledge articles to ensure they are up to date and accurate. Work with subject matter experts to update them as needed. - Order supplies etc. as needed for the department.
Required: - High School or GED and a combination of education and work experience to equal 4 years. - Experience with CRM or similar data management systems. - Demonstrated commitment to inclusivity and working with diverse audiences.
Preferred: - Direct experience with Salesforce CRM. - Event planning experience. - Effective verbal, written, and interpersonal skills. - Attentive to details, experience managing multiple tasks and priorities, and meeting deadlines; commitment to continuous improvement.
