Reporting to the Executive Director of the Koenigsberger Learning Center, this program assistant provides valuable administrative support to five professional academic advisors. Duties include significant data entry and data management for a variety of office functions and programs such as Elon 101 and Learning Assistance. This position daily interacts with faculty, staff, students, and parents by phone, email, or in person to share information about Elon University in general and share programs and policies of the KLC and academic advising in particular. This position will jointly hire, train, and supervise student workers in the advising office.
A bachelor’s degree plus relevant work experience.

Essential Duties and Responsibilities:

Record major and minor declarations along with ongoing changes that students request
Record advisor assignments after securing them from departments
Approve time sheets on a bi-weekly basis for 5-6 student workers and over 200 peer tutors.
Enter all Elon 101 and COE 110 courses by a predetermined deadline
Update course offerings in the First-Year Course Request guide with support from the coordinator of summer registration for new students
Notify students of their changes to programs of study and new advisor assignments
Daily check the firstname.lastname@example.org email and route requests for information to office academic advisors
Daily check the email@example.com email and respond
Update SharePoint systems that support major declaration
Create advisor caseload reports each semester to send to department chairs and deans
DIRECTSUPPORT TO ELON 101 PROGRAM
Maintain a SharePoint database documenting instructor and student teaching assistant information for over 110 sections of the Elon 101 advising seminar
Process reimbursement requests from Elon 101 instructors when course funds are used and maintain a budget database for the program
Collaborate with various offices to assign all Elon 101 classroom locations
Update SharePoint system that allows contract access for Elon 101 instructors and teaching assistants
Work with the Provost office to coordinate the course evaluation process for Elon 101 and run reports from the evaluation data
Work with the Provost office to manage transcript and resumé collection verifying Elon 101 instructors teaching eligibility by accreditation standards
Submit payroll for Elon 101 instructors and teaching assistants
Maintain the Elon 101 program's master calendar
In conjunction with the Director of the KLC, this position will hire, train, and supervise student workers
Provide prompt and courteous attention with accurate information to students, faculty, and staff who visit, call or email the Office of Academic Advising
Order and stock office supplies as needed
Learn new systems and approaches to support changing office functions over time
Collaborate with the Disabilities Resources Office program assistant as needed to expand Colleague knowledge for creating Informer reports
Update webpages for Academic Advising and Elon 101; including connecting major check sheets to the Smart Catalog.
Other duties as assigned
Proficiency with Microsoft SharePoint, Excel and Colleague data management systems is preferred.
