Executive and Administrative Specialist to Menâ™s Hockey Job code 1885
Summary This position will support the Menâ™s Hockey program and perform other general administrative functions for the department of athletics.
Duties Reception and Scheduling (15%) - Will serve as the first point of contact for the menâ™s hockey program and office by answering phones, screening calls, greeting visitors.Â Serve as the main point of contact for and maintain the calendar of the head coach-menâ™s hockey.Â Complete itineraries for official and un-official visits for prospective student-athletes.Â This includes scheduling individual and/or group meetings, reserving rooms, preparing meeting materials.Â Assist with Projects and Special Events (15%) - Assist with hockey program and alumni functions and special events. Provide support to hockey staff and administration for other special projects and events as assigned. Travel and Expense Reporting (10%) â“ Make travel arrangements for hockey staff member and complete associated expense reports for individual and team travel.Â General Administrative Support (10%) - Provides general administrative support to head coach and other members of the hockey staff.Â Maintain alumni and recruiting databases.Â Produce and distribute communications to constituent groups on behalf of the hockey program.Â Proof read materials for accuracy.Â Â Completes compliance and other department related forms and documents. Payroll (15%) â“ Process payroll for part-time staff in select units within the department of athletics.Â Collaborate with managers of part-time staff to enter approved time for part-time staff and ensure time is approved in line with department and University procedures. Equipment and Apparel Inventory (15%) â“ Support the equipment operations staff with maintaining apparel and equipment inventory in an approved inventory system.Â Work with equipment managers to track distributed apparel and maintain appropriate documentation.Â Collaborate with business office/human resources to report taxable liability to University payroll. Administration reception (10%) - Serve as a fill-in receptionist in the Administration office in suite 250 of Bierman, which includes answering phones, managing parking requests and greeting visitors. Other duties and special projects as assigned (10%)
Qualifications Required â¢High School GED/Diploma and four years office experience. Training/education may be substituted for some of the experience. â¢Computer experience required.
