This position provides administrative support for the Director, Deputy Director, Institute Manager, faculty and staff and acts as the public face of the Institute as thefirst point of contact for all visitors. The position supports the activities of approximately 60 individuals, including faculty, staff, graduate students and postdoctoral fellows engaged in comprehensive research support. The Administrative Assistant provides administrative support to the Director, Deputy Directors, Institute Manager, and Academic Manager. Responsibilities include maintaining calendars, scheduling meetings, booking travel, with creation of detailed itineraries for the Director's Advancement related travel. The position maintains supplies inventory, processes deliveries, coordinates scheduling of IBES meeting rooms and common spaces, initiates building maintenance requests to the Facilities Department, and insures that the IBES Gathering Space and common areas are in kept in order. The Administrative Assistant provides logistics support for events organized by the Communications Coordinator, and assists the Financial Coordinator with processing financial transactions.
Associate's degree and 2-3 years directly related experience (preferably in an academic environment), or equivalent combination of education/experience
Experience coordinating logistics related to events
Demonstrated proficiency using Microsoft Office suite (Word, Excel, PowerPoint)
Strong organizational skills and attention to detail
Strong verbal and written communication skills
Demonstrated ability to prioritize and multi task in fast-paced environment while meeting established deadlines
Possesses a willingness and ability to support a diverse and inclusive environment.
