Drew University is seeking an Executive Assistant & Advancement Generalist in the University Advancement Department. Provides high-level administrative support to the senior advancement management team and serves as an advancement generalist, performing duties such as: calendaring; travel plans; event management; training and oversight of student workers to implement donor events; drafting correspondence, agreements, and proposals; staffing the Advancement Committee of the Board of Trustees; and creating materials and presentations for meetings. Position requires location flexibility and willingness to travel regularly between Advancement offices in Madison NJ and Manhattan.
ADMINISTRATIVE: Provide information to staff, including pledge letter status, updated contact lists, org chart, personnel and administrative file maintenance. Handle telephone inquiries, and requests for office supplies. Provide overall administrative assistance to any consultants and search firms.
FINANCE: Prepare consultant invoices for payment, purchase orders, check requests, travel card/purchase card reconciliations; audit reports and journal vouchers; maintains electronic and hard copy administrative records, including correspondence, budget, and confidential personnel files. Process purchase orders, consultant invoices, and check requests. Reconcile credit card expenses.
WRITING: Serve as an added department generalist: draft donor proposals, gifts agreement, acknowledgement letters. Draft briefings for the President of the University and the Vice President for Advancement. Assist in the preparation of presentations for the Board of Trustees, the Development Committee and other Committees of the Board. Draft stewardship correspondence and fund reports.
STUDENT WORKERS: Manages and oversees a corps of students who provide special event support and provides assistance as needed for various University events.
RESEARCH: Serve as an added hand in research, utilizing various donor research tools, provide donor and prospect research as needed.
OTHER DUTIES: Perform other duties as assigned by the VP and/or AVP of University Advancement.
Minimum Education and Experience
Bachelor’s degree or equivalent experience.
4-6 years of experience in Development/Advancement or a related field
Experience supporting high level professionals
Experience in a fast-paced, detail-oriented office setting
Superb organization and project management skills
Track record of confidentiality and discretion
Strong interpersonal and intrapersonal skills.
Must possess a can-do flexible attitude
Working knowledge of Google’s G Suite and Microsoft Office products, including Power Point
Ideal Education and Experience
Experience working in Higher Education
Familiarity with Raiser’s Edge and Banner with an ability to quickly gain proficiency in a new CRM
