Rutgers, The State University of New Jersey, is seeking a Secretary I for the Department of Medicine at the Rutgers, Robert Wood Johnson Medical School.
The Secretary I provides high-level confidential, secretarial services and works in conjunction with the Program Assistant to provide administrative support to the Interventional Faculty of the Division of Cardiovascular Disease and Hypertension.
Among the key duties of this position are the following:
Day-to-day office management for the Interventional team of the division of Cardiovascular Disease and Hypertension including calendar maintenance, on-call scheduling, vacation/conference requests, ad hoc clinic closures, and physician coverage.
Processes all correspondence, travel and check requests, updating credential requests, reapplication appointments, and purchasing related requests.
Provides administrative coordination/assistance regarding the cardiovascular fellowship program, as needed.
Coordinates student electives with the registrar's office for medical students on the cardiology and ECG electives.
Coordinates lecture schedule for faculty and volunteer faculty; M2 Cardiopulmonary Course, Third Year Management Conferences and Physical Diagnosis Courses.
Coordinates all aspects of speaker visits, including determining program dates, organization of travel arrangements, transportation, and hotel accommodations coming from out-of-town.
Minimum Education and Experience:
Graduation from an accredited program in secretarial studies, plus four (4) years of full-time secretarial experience.
An additional year of experience is required in lieu of the secretarial program.
College credits may be substituted on a year-for-year basis for secretarial experience. Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.
Required Knowledge, Skills, and Abilities:
The ability to function in a team environment.
Demonstrated interpersonal skills.
Effective oral and written communication skills.
Requires proficiency in typing and experience with word processing packages and additional software packages, as required by the department
Must be proficient in using Microsoft software, including but not limited to PowerPoint, Outlook, Word and Excel.
Working knowledge with EMR and IDX.
Physical Demands and Work Environment:
Walking, standing, sitting is required.
No special vision requirements.
Ability to lift or exert force up to 25 lbs
