Rutgers, The State University of New Jersey is seeking a Business Assistant II for the Rutgers Agricultural Research and Extension Center (Bridgeton, NJ). This position provides financial and administrative support to RAREC management consistent with a basic understanding of the mission, vision, role and goals of the unit. The Business Assistant II performs professional work requiring knowledge of office procedures and accounting principles and practices and basic application of concepts, theories and terminology of accounting. This position prepares and coordinates administrative work of the unit, which may include personnel, purchasing, policy dissemination and application and office operations/maintenance.
Among the key duties of this position are the following:
Provides management of accounting operations within RAREC and provides oversight and detailed accounting and reconciliation of RAREC projects/GL operations.
Responsible for preparing monthly internal financial reports for use by the Departmental Administrator and the Faculty Director.
Independently administers a variety of state, federal, grant, discretionary, gift, ICR, and endowment accounts.
Interacts frequently with Rutgers personnel (faculty, administrators, SEBS/NJAES business office staff and SEBS/NJAES administrative staff) to quickly and responsibly resolve problems that may arise concerning grant accounts and the Center's operating budget while maintaining the Center's financial records.
Provides timely reconciliation and/or closing of accounts and prepares entries to accomplish this end.
Prepares and/or reviews financial documents which include but are not limited to requisitions, journals, travel advances, and travel expense reports to authorize expenditures based on funds availability and appropriateness of charges on state, federal, and discretionary funds.
Exercises judgment on allocation of grant charges and determines and advises PI's on appropriateness of charges on financial matters.
Stays constantly apprised of current federal and other granting agency restrictions on the expenditure of funds and ensures that all financial activity within the unit is in compliance with all University and agency policies, procedures and regulations, as well as with special reporting requirements of the individual granting agencies.
Minimum Education and Experience:
Bachelor’s degree in accounting, finance, business administration or related field; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of generally accepted accounting principles (GAAP) and practices.
Required Knowledge, Skills, and Abilities:
Also requires good communication skills, interpersonal skills
Proficient in Microsoft Office (Excel, Access, Word, Power Point), as well as familiarity with web-based programs (e.g., Oracle programs).
Ability to meet all deadlines as indicated by supervisor
Must possess and maintain a valid driver's license and be willing to travel, when necessary, to sites throughout New Jersey for business demands.
Experience with social media
Experience in higher education and working knowledge of Rutgers University policies, procedures, and administrative structure.
Proficient in Micosoft Excel, Word, PowerPoint
Utilizes the Jagger (MarketPlace) procurement system, Oracle Financial System, Discoverer, HCM, ECRT reporting system and RAPSS
Physical Demands and Work Environment:
Ability to lift and carry up to 50 lbs
Requires long periods of time sitting at computer workstation.
Accomplishes administrative tasks carefully and thoroughly, with appropriate questions asked when necessary to ensure that the job is done correctly.
Demonstrates a working knowledge of University policies and procedures.
