The University of Pittsburgh, Institute of Politics is seeking a qualified Office Manager.
As a core member of the Institute of Politics team, the incumbent will be responsible for working closely with Institute leadership and staff with the coordination of Institute meetings and conferences, publication dissemination, and other outreach activities. Specifically, the incumbent will manage event communication and registrations through the Institute's database, prepare bulk mailings, organize event logistics, maintain seminar/program data and prepare reports based on that data, and prepare event materials (name tags, table tents, packet material).
As the Office Manager and assistant to the Director and first point of contact for the Institute, the incumbent will assist with screening, directing and responding to calls, photocopying, faxing, processing mail, drafting memos, letters, and other correspondence, maintaining the master calendar, and the day to day administrative needs of the Director. Lastly, the incumbent's primary responsibility will be office operations, logging of expenses and payments, payment processing, account reconciliation, expense reimbursements, purchasing, student recruitment, administrative support, event coordination, and assist with student programming.
Qualifications: * Well-developed organizational and administrative skills * A thorough knowledge of Microsoft Word, Excel, Powerpoint, and Photoshop * Excellent written and oral communication * Demonstrate strong interpersonal skills and maintain composure under stress * Incumbent must be able to self-direct and multi-task in a fast paced environment * Familiarity with the University system is required: Panther Express, Cognos, and Concur
Because the Institute's staff is small, it is important the staff members work as a team and be willing to flexibly contribute to the work that needs to be done in hosting major programs or producing major publications.
Excellent written and oral communication skills required. The ability to be flexible and work within a team is essential.
Department Details: Founded thirty years ago, the mission of the Institute of Politics (IOP) is to provide a neutral, non-partisan forum for elected officials and other civic leaders to consider policy issues of importance to the Southwestern PA region. That charge has led to its examination of a wide range of important issues. Among those that recently claimed a place on its agenda are criminal justice reform, lead contamination, and workforce development.
Minimum Experience Level Required: 3-5 years experience
Work Schedule: Monday - Friday, 8:30 a.m. - 5:00 p.m
