OFFICE ASSISTANT , Open Learning , to act as a front office team member in a dynamic administrative group. Will serve as the face of Open Learning for all visitors with responsibility for all receptionist and office duties at the main entrance. Responsibilities include welcoming visitors by greeting them, in person or on the telephone, and answering or referring inquiries; directing visitors by maintaining employee and department directories and providing giving instructions; preparing office, including space and logistics, for external meetings as needed; organizing and maintaining office common areas, managing and optimizing conference room usage and maintaining kitchen and break room safety and cleanliness; distributing mail and handling deliveries; making maintenance requests; assisting with onboarding new employees, coordinating MIT parking, providing access to the building, adding to Open Learning wide e-mail lists and website, etc.; supporting various meetings and events, e.g., arranging space, ordering and managing catering, AV/technology set up, etc.; maintaining office equipment and supplies throughout the space by taking full responsibility for preventive maintenance, troubleshooting, calling for repairs, and monitoring equipment operation; scheduling meetings; drafting and editing correspondence, presentations, and agendas; arrange travel logistics and processing reimbursements; and handling other administrative duties as needed.
Job Requirements REQUIRED : high school diploma or its equivalent, excellent interpersonal, organizational, and customer service skills, discretion and good judgment with confidential information, flexibility, self-motivation, and proficiency with Microsoft Office. Must be able to multitask, manage time, prioritize, follow up on action items, and deliver high quality results on time; and function effectively despite frequent interruptions in a fast-paced, collaborative, and multiteam environment.
