The Financial Coordinator will provide support in processing vendor invoices/accounts payables, create purchase orders, track the status of transactions, and maintain documents within establishedÂ retention process for all properties in the Real Estate portfolios and for the Real Estate department in general. With oversight from the Property Accountant, the Coordinator will accomplish the following: using in-house lease administration system and/or Workday, enter and track utility and property related supplier invoices;Â process property tax payments.Â Process all other departmental supplier invoices and prepare purchase requisitions/purchase orders in Workday for department staff as requested; maintain digital and/or hard copy files of all A/P invoices processed and track balance of purchase orders. Interact with Accounts Payable to follow up on issues related to supplier invoices, payments, and check requests.Â Research transactions as requested.
The Financial Coordinator will also provide accounts receivable support to Real Estate Department. With oversight from Property Accountant, the Coordinator will prepare ad-hoc customer/tenant invoices in Workday, create deposit slips for tenant rent checks received, and code receipts for processing by Cashierâ™s Office and maintain digital files for checks and deposit slips and research transactions as requested. The Coordinator will also support accounts payable/accounts receivable support for the Universityâ™s Auxiliary Housing portfolio by processing supplier invoices related to Auxiliary Housing properties.Â Assist auxiliary housing staff in billing faculty rent and student and faculty parking charges through Banner and Workday.Â Collaborate with Auxiliary Housing staff and utilizing in house leasing system, provide information to Bursarâ™s Office for billing student accounts for rent charges twice a year in a timely manner.Â Prepare check deposits for rent checks that are brought to the Auxiliary Housing satellite office and maintain files related to these.Â Update tenant accounts to reflect miscellaneous charges.Â Collect, track and reconcile security deposits received from student tenants and process the return of the security deposits at the end of their lease term.Â Â Process monthly billing in Banner for student miscellaneous credits or charges.Â
Associateâ™s Degree or equivalent combination of education and professional experience.
2-3 years experience in a financial and/or lease administration position, preferably in a property management or corporate real estate environment.
Proficiency in general bookkeeping skills & knowledge, including a/p, a/r, general ledgers, income statements, reconciliation of financial reports, etc.
Experience working in a large scale Enterprise Resource Planning system, such as SAP, PeopleSoft, Oracle, or preferably Workday
High level of computer proficiency: Google Apps, MS Office, Workday etc. and other relevant software and office equipment
Highly effective oral and written communication skills
Math skills for transaction reconciliation and other financial tasks
Very strong organization skills for managing multiple projects: Requires the ability to plan, organize and prioritize work in order to meet schedules and timelines.
Strong interpersonal skills for working with varied customer types (tenants, administrators, landlords, etc.)
Ability to work independently within the context of the position requirements using solid judgement and problem solving skills.
Ability to research, analyze and summarize information and proficient in developing reports and presentation materials.
Ability to shift focus and priority in a pressured work environment
Requires the ability to work as contributing member of a team, work productively, patiently, and cooperatively with other teams and external customers
