The Office of the Vice Chancellor (OVC) for Student Affairs Business Hub provides finance services for state, fee and other funded areas in Student Affairs, including the Office of the Vice Chancellor, University Career Services, Dean of Students, Student Conduct, Off Campus Student Life, Accessibility Resources and Service, LGBTQ Center, Campus Y, Student Affairs Information Technology, Student Affairs Finance & HR, Student Wellness and Student Affairs Development. The Accounting Specialist provides vital support to HUB staff as well as the aforementioned Student Affairs departments. The position serves as the primary customer service response, processor for daily financial transactions and support of financial system inquires to the 12 departments serviced. The position communicates within Student Affairs, the Business Hub and to external University departments and vendors.
Thorough understanding of Student Affairs governance, policies & procedures, forms, documents, and regulations;
Create the annual operational budget spreadsheets including establishing advance formulas for tracking expenditures;
Create reporting of monthly expenditure use to budget allotted by department and communicate to the Assistant Director;
Reconciliation of the operational budget spreadsheets for the departments serviced in the OVC Business Services Hub. Financial Program Monitoring and Management
Responsible for managing assigned tasks in the OVC Shared Mailbox and Automated tracking tool- recording and responding to each submission on receipt;
Act as main processor for all Procurement cards in the OVC Business Services Hub;
Identify priority and emergency requests and communicate to management timely; ensure that all travel requests are processed on the same day of receipt;
Mentor departmental staff processors as it pertains to financial best practices. Communication
Serve as in-office point of contact for visitors to the OVC Business Hub, creating a welcome and friendly environment fostering inclusiveness and accessibility;
Provide appropriate verbal and written communication to all customers and staff served; engaging the Business Finance Officer of all non-standard requests or actions;
Ensure that customers are apprised as to the status of all incomplete items submitted and next steps required for processing;
Liaise with department staff and directors to provide guidance and assistance with completing documentation and processing requests.
Responsible for reviewing incoming submissions to determine that documents are correctly completed and are sufficient for processing.
Leading Work Teams
Serve as the resource provider to resolve issues and guide Student Affairs Departments in assisting them to determine the direction for their areas. Identify and determine the best course of action to resolve typical operational issues.

Education and Experience:
High school diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
Demonstrated proficiency with Microsoft Excel, Outlook, Word;
Demonstrated ability to establish and maintain effective working relationships with internal and external offices and individuals;
Flexibility, a goal-driven mindset and the ability to function in a multifaceted setting are essential;
Demonstrated ability to independently explain financial concepts and communicate effectively, efficiently and diplomatically, both orally and in writing with University staff and external partners;
Strong multi-tasking and time management skills;
Strong organizational skills;
Ability to exercise judgement and discretion in problem solving.
Experience working in a university setting;
Demonstrated Excel and analysis experience;
Demonstrated successful communication including verbal, written, and non-verbal.
Ability to work in an open office environment and accomplish position responsibilities;
Demonstrated knowledge and application of accounting principles.
