The University of Michigan, School of Education seeks a high-level experienced individual to provide advanced administrative support to the Dean of the School of Education. This position requires broad and comprehensive experience. The successful candidate will demonstrate the ability to complete a high volume of tasks and projects, with strong attention to detail and discretion.
Executive support: Provides executive administrative support including coordinating with University of Michigan offices, donors, faculty, students and staff. Responds and acts on behalf of the Dean in the monitoring and follow through for timely completion of projects and tasks. Prepares written communication on behalf of the Dean. Uses resources, technology and creative thinking to provide a high level of professionalism and customer service to the Dean and all constituencies.
Calendar and travel: Manages the calendar and helps prioritize commitments to use the Dean’s time effectively. Plans for near-term and future events and prepares the Dean for special functions, receptions and activities. Provides timely and accurate information about meeting participants and purposes. Manages travel arrangements, prepares itineraries and submits expense reports.
School support: Develops close partnerships with other administrators to implement the Dean’s initiatives and support school-wide committees led by the Dean including the SOE Executive Committee. Advises the Dean and other administrators on policy, procedural and operational issues of the school. Schedules in-person, phone or web-based meetings, takes minutes and tracks actions and timelines.
Administrative lead: Coordinates administrative support throughout the Dean’s office to deliver quality and proactive service. Serves as professional representation of the Dean’s office in both internal and external communities. Creates and maintains procedures and electronic storage to promote efficient work. Contributes to the planning and implementation of school events and meetings. Maintains a strong, visible, professional presence in the Dean’s office.
Other Duties: Other duties may be assigned to this position if deemed appropriate.
A bachelor’s degree or equivalent combination of education and experience.
5-7 years progressively responsible administrative support is necessary.
Excellent interpersonal skills to handle sensitive and confidential situations that require demonstrated poise, tact, confidentiality, and diplomacy.
Excellent written and oral communication skills.
Demonstrated ability to set priorities and handle multiple assignments and deadlines, and display appropriate judgement while operating in a flexible and professional manner.
Advanced technology skills including Microsoft Office, Google G suite, Adobe suite.
Five or more years of work experience and responsibility providing executive-level professional support.
8:00am-5:00pm, Monday through Friday; may include some weekend or evening hours.
